Job Description Summary

The Manager of Athletic Administration, reporting directly to the Director of Athletics, is responsible for a wide range of operational duties of broad scope and complexity requiring professional ability, organizational skills, mature judgment and knowledge of the Department of Athletics as well as all aspects of the daily operation for 24 varsity sports and Competitive Sport Programs. They will have a big hand in the overall operation of the department, with many critical areas of direct oversight that are crucial to the department’s overall success.

Essential Duties

  • Manage and oversee the charter bus operations and travel for team events; communicate with head coaches and bus vendor company to establish schedule. This incumbent will manage the relationship with the bus company and all logistical and financial operations.
  • Manage the vendor management for the athletic department. This includes all supplier information and accounting information when it comes to the vendor. This incumbent will mange the relationships with all department vendors year over year.
  • Manage and direct the scheduling of game officials and referees for all home athletic contests. This included being the lead for communication with the incumbents and making sure all payments are handled after the contest is compete.
  • HR Onboarding manager for all new staff and coaches. This included but not is limited office arrangements, IT Set ups, department policies, guidelines, and trainings.
  • Manage and coordinate all parent related events and functions for our sport programs when it comes to their athletic home contests.
  • Manage and order all supplies needed for the athletic department coaches and staff members.
  • Create and put together annual reports for the department. Work with all senior level staff to create annual reports for the athletic department. These reports happen quarterly.
  • Manage the student worker staff that assist with the office operations of the athletic department.

Additional Duties

Athletic Administrative Services

  • Provide direct administrative support to the Director of Athletics, duties may include calendar management, drafting and sending communications, and arranging all travel.
  • Under the direction of the Assistant Athletic Director for Compliance, handle student athletes class excuses, coaches’ exams, and other administrative compliance support.
  • Assist athletic administrators, staff members, and coaches with daily operational tasks as needed.
  • Help and assist with special events for the department, including but not limited to, Seniors Awards, Hall of Fame, Seniors Day, Banquets, Golf Tournaments, etc. as needed.
  • Assist with work-order controls when needed.
  • Provide a wide range of administrative support and operations logistics for all Varsity Sport Head Coaches.
  • Assistant with the completion and track of all game contracts.
  • Provide general locker room support as needed.

Minimum Qualifications

  • Bachelor’s Degree with a minimum of 2-3 years experience, with demonstrated knowledge of the management of running fund raising events and special events.
  • Masters Degree preferred.
  • Knowledge of targeting specific alumni groups for participation.
  • Experience in the sport or athletic areas.
  • Knowledge of budget preparation and management.
  • Demonstrated experience with project management as it relates to event planning.
  • Familiarity with human resources function, including job descriptions, compensation, and performance management.
  • Ability to maintain utmost level of confidentiality. Experience working in an athletics environment

Work Environment

  • Typical office setting with extensive sitting and computer work
  • Ability to travel within and outside of campus for work related meetings and events
  • Some events may require attendance outside of normal business hours including evenings and weekends
