Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.

Position Summary:

The ideal candidate will join a vibrant and inclusive educational community,and have a desire and ability to work with a diverse population. The Senior Special Programs Coordinatorperforms managerial work and project coordination in the STEM Division atMassBay Community College. The Senior Special Programs Coordinator isresponsible for directing program operations, managing records, developingprogram goals, overseeing and organizing work activities, grant administration,preparing documentation, providing and distributing information. They will alsoperform related work as directed by the Dean of STEM.

Key Responsibilities and Duties:

  • Direct a program, special project, or activity pertaining to the STEM division; plan, direct, and implement operations of assigned program, project, or activity; perform various administrative tasks associated with assigned project/work activity; organize work activities; compile or monitor data pertaining to projects/activities; evaluate effectiveness of program; conduct research as needed; organize, maintain, and manage records;

  • Process a variety of documentation associated with department projects and activities, per established procedures and within designated timeframes; prepare general correspondence, reports, forms, purchase requisitions, budget documents, grant proposals/applications, spreadsheets, education plans, tests, or instructional materials; receive or refer to correspondence, reports, forms, applications, registration forms, surveys, student records, transcripts, testing materials, instructional materials, financial reports, contracts; distribute documentation or retain records as appropriate;

  • Perform administrative tasks associated with STEM division activities; operate a computer to enter, retrieve, review or modify data in computer database; utilize word processing, spreadsheet, database, desktop publishing, presentation, computerized testing, Internet, e-mail, or other software programs, maintain current information on relevant resources and reference materials; monitor inventory levels of supplies;
    Interact with various agencies and individuals, attend meetings; serve on and/or chair committees; attend college-related events; represent the college and the assigned department at outside events; communicate with supervisor, employees, other departments, students, faculty members, other school officials, the public, local businesses, outside agencies, vendors, and other individuals to coordinate activities;

  • Coordinate assigned staff, plans training activities; instruct assigned staff in performance of duties according to established standards; plans the work of others and allocates personnel; prioritize, assign, review, and coordinate work; conduct staff meetings; assist with complex or problem situations and provides direction; respond to employee issues and concerns; assist with interviewing and selecting new employees;

  • Participate in meetings and professional development activities, maintain a working knowledge of assigned area; attend workshops and training sessions;

  • Perform miscellaneous tasks, teache classes as needed; provide advisement as needed; create flyers/brochures; type, copy, fax, and file documents;

  • Assist with planning, coordination, and reporting of selected special programs as assigned by Dean;

  • Oversee grant management;

  • Create program management schedules and monitor activities;

  • Monitor implementation of grants, program activities, policies, and provide updates;

  • Coordinate communications for the program and activities;

  • Schedule, organize, and prepare minutes or summaries of program-related meetings and events;

  • Coordinate and provide support on the use of campus technology with internal and external vendors;

  • Create and maintain program records, reports, and presentations;

  • Collaborate with STEM Administrative Assistant to schedule work completion;

  • Carry out all other duties as assigned.

Minimum Qualifications:

Master’s degree in Education, Counseling, Psychology,Business Administration, Marketing, Education Administration, or other fieldrelated to area of assignment; with three (3) years experience and/or traininginvolving area of assignment, which may include business management,program/project management, grant administration, budget development, communityrelations, curriculum development, education, counseling, substance abuse,non-traditional student services, or public assistance programs; or an equivalentcombination of education, training, and experience.

Additional Information:

Salary Range: $70,929 - $79,319, in accordance with one's education and experience as dictated bythe collective bargaining agreement classification compensation structure.
