Job Description

Job Summary:



Reporting to the Sr. Associate Registrar, the Academic Planning Coordinator is responsible for the creation and maintenance of the HGSE Course Catalog and Schedule of Classes within My.Harvard and EMS. The Academic Planning Coordinator also cross-trains with the Enrollment Services Coordinator to provide support during peak periods. This role requires an on-campus presence most days.


Position Description:

  • Course Scheduling Support:
    • Responsible for entering, configuring, and maintaining all aspects of course configuration in my.harvard, ensuring accuracy and alignment with academic requirements.
    • Responsible for syncing my.harvard and EMS to ensure accurate room assignments as created by the Assistant Registrar. Coordinate with the Operations Team to ensure a smooth start of term for room assignments and collaboration.
  • Records and Data Management:
    • Ensure accuracy and timeliness in maintaining and delivering student records, diplomas, and transcripts to student using Parchment, NSC, and Paradigm.
    • Liaise with Enrollment Services to troubleshoot enrollment issues related to course setup and update student records as
    • necessary Classes.
  • Customer Service and Front Desk Management:
    • Serve as the second point of contact for the department, managing the front desk to provide in-person support to students, faculty, and staff.
    • Supports and contributes to completing requests from the department ticketing system (Salesforce)
  • Cross-Training:
    • Cross-train with the Enrollment Services Coordinator to support registration and student services during peak times.


Physical Requirements:
Working Conditions: HGSE is currently developing dynamic workplace models which will actively support a combination of on-campus and remote work (within a state in which Harvard is registered to do business) where business and operational needs allow. This role requires an on campus presence most days. You and your manager will discuss the best schedule based on your role and operational need. If your role allows for remote work, please note that all remote work must be performed within a state in which Harvard is registered to do business (CA (Only Exempt), CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Please also note that Harvard will withhold each applicable state’s required tax and other withholdings from your paycheck for the time you work there.

Qualifications

Basic Qualifications:

Minimum 3 years relevant work experience. Must be able to work additional hours during peak times including night/early morning and weekends.
Any candidate wishing to be considered must supply a cover letter in addition to their resume showing that they meet the required basic qualifications.

Please note this position has an on campus requirement most days.


Additional Qualifications and Skills:

  • Familiarity with academic planning and course scheduling processes.
  • Strong communication, analytical, and organizational skills.
  • Experience with Student Information Systems and EMS.
  • Familiarity with website maintenance and data reporting tools.
  • Experience in a higher education setting.

Work Format Details

This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
