Position Summary

The Office Manager is a wide and varied role. While primarily responsible for organizing office operations they are also responsible for greeting and welcoming visitors, answering and directing telephone calls, and providing office support to the RIX staff as needed.



Requirements:

Responsibilities

  • Welcome and greet visitors and maintain security by following visitor procedures, monitoring logbook and issuing visitor badges.
  • Receive, direct and relay telephone and fax messages.
  • Receive and liaise with vendors both existing and potential. Escort vendors as required. Support basic facility maintenance by making calls for vendor pricing or assisting with scheduling vendors.
  • Maintain inventory of office supplies for all departments in facility.
  • Receive, date and distribute incoming mail. Address and prepare outgoing letters and packages.
  • Scan and deposit incoming checks and maintain customer and vendor information in CSI.
  • Process expenses for office expenditures, the Human Resources department and any key leadership as assigned.
  • Recommend and support the implementation of office policies that improve office efficiency.
  • Support the equipment of all office spaces with necessary desks, and basic equipment. When employees depart the company or move to new work areas; provide guidance to managers to reset the space for the next employee.
  • Assist in the planning and coordination of general staff meetings of all sizes. This may include scheduling conference rooms, ordering lunches, Holiday Party planning and requesting IT peripherals as needed.
  • Maintain a safe and clean reception area and support the overall tidiness of conference rooms, break rooms and shared office spaces.
  • Monitor and maintain company snack program and associated budget. This includes maintaining supplies for breakrooms, ordering and putting away snacks and ensuring cleanliness where possible.
  • Support the onboarding of new employees.
  • Assist Executive Admin team and Office Administrative staff in all locations; together you're better!
  • Perform all other duties in the best interest of the company or as directed.



Minimum Qualifications

  • Associates Degree or equivalent experience preferred.
  • High School Diploma or equivalent.
  • 5 or more years related experience and/or training.
  • Effective communication and problem-solving skills are crucial in this multifaceted role.
  • Highly organized and professional.
  • Flexible and adaptable attitude ready to support and oversee diverse tasks in a dynamic work environment.
  • Must possess working knowledge of desktop computers and software such as Microsoft Excel, Power Point and Word. Ability to adapt to a variety of software.
  • Citizenship: U.S. Citizen or qualified U.S. Person in accordance with ALU 22CFR 120.15.



Preferred Qualifications

  • Active CA Notary Public Commission. Provide notary services to the organization as needed.


Physical Requirements & Work Environment

Must have the following physical abilities:

  • Ability to stoop, kneel, crouch, bend, stretch, reach, and lift.
  • Ability to lift up to 50 pounds regularly.

Ability to sit or stand for extended periods at a desk or table as well as machine tools or printers.
