Essential Job Functions:
The Judiciary Clerk performs a wide variety of mixed duties such as reviewing and accepting filings through OFS; processing domestic violence petitions; managing daily reports; updating events for Allegany County Circuit Courts. The incumbent will process working tasks in the family, transfer, and appeal queues; assist attorneys and customers in person and over the phone; support the judges, law clerks, and court staff; and enter courtroom notes. The incumbent may be asked to perform additional duties as required by management.
Review filings in Odyssey File & Serve in keeping with the Submissions Matrix and accept, deficient or reject the filings accordingly. Update the documents filed, confirm proper due dates are added, and review the case for any submissions that may need tasked to the judge. Review the case for final orders that may be due or needed. Enter domestic violence and emergency evaluation petitions as filed.
Review daily reports, such as the Event Due Report. Each day, review events that are due and determine if they are ready to be sent to the law clerk, judge. or magistrate for consideration. Continually update events and keep co-workers, supervision and on occasion other court staff or attorneys abreast of the status of a case
Customer service?assist pro se customers with filings, answering questions, providing procedural information and forms in person and on the phone. Assist law office staff and court staff regarding cases in person, on the phone, or via email.
Occasionally provide courtroom coverage in the courthouse annex in front of the family and child support magistrate. Most days, courtroom coverage is provided for a morning or afternoon session and any domestic violence petition that may need courtroom coverage. Keep accurate notes, scan exhibits, swear witnesses, and send tasks to assignment clerk, if necessary, to set additional hearings.
Review and work family, transfer, and appeal task queues. Add documents to the event tab that have been submitted from Odyssey File & Serve, judges, law clerks, magistrates or supervision. Accurately enter the event code, complete all fields, then mail and e-serve the parties accordingly. Complete the event due task by reviewing the case to determine if it should be disposed. Constantly review cases to determine if additional measures are required by the clerk?s office.
Cashiering ? Maintain a cash drawer, accept payments

Minimum Qualifications:
Education: High school diploma (or GED equivalent).
Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Note:
A Bachelor?s Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge:
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and patiently.
Typing on a personal computer.
Accuracy and attention to detail.
Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, cash register, scanner, fax machine, etc.
Use and maintain numerical filing system to locates files, until all cases are completely scanned.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
Equipment, Machinery and Tools:
Personal computer to process filings, add and update documents. A fax machine to forward transmittals, such as writs or publications to various parties. Cash register and credit card machine to process filing fees. Calculator to add filing fees collected throughout the day to balance the cash register till.
Software and Computer Skills:
Microsoft Word, Excel, Outlook, and MDEC to manage the daily caseload of the court
