Job Description

Job Summary:

The Enrollment Services Coordinator supports the Sr. Associate Registrar in managing registration processes, student records, and communication strategies. As the main customer service staff, this position is responsible for managing the front desk and providing in-person support to students, faculty, and staff. The Enrollment Services Coordinator ensures a high standard of service delivery and compliance with academic policies, while playing a crucial role in supporting the efficient operation of the registrar's office. Additionally, this position collaborates with the Academic Planning Coordinator and cross-trains to provide mutual support during peak times. This role has an on campus presence most days.


Job Specific Responsibilities:

Key Responsibilities:

  • Registration Management:
    • Assist in the administration of efficient registration and course enrollment processes for all degree and non-degree programs.
    • Support the integrity and maintenance of student records, cross-registration, and degree progress tracking.

  • Student Records Administration:
    • Facilitate the processing of official transcripts, enrollment verifications, and student record policy queries.
    • Assist in training staff on the usage of the degree audit tool and related systems.

  • Communication and Outreach:
    • Engage in routine communication with internal and external stakeholders to support registrar functions.

  • Customer Service and Front Desk Management:
    • Serve as the main customer service representative, managing the front desk to provide in-person support to students, faculty, and staff.
    • Address queries and provide assistance related to enrollment services and registrar operations.
    • Supports and contributes to completing requests from the department ticketing system (Salesforce)

  • Cross-Training:
    • Cross-train with the Academic Planning Coordinator to support academic planning and scheduling functions during peak times.

  • Other duties as assigned


Qualifications

Basic Qualifications:

Minimum 3 years of related experience. Overtime may be required during peak periods, including working nights and weekends on occasion.

Additional Qualifications and Skills:

Bachelors degree preferred; Excellent organizational skills with particular ability to prioritize work in an environment with multiple and conflicting interests; Excellent analytical, interpersonal, and communication skills; Demonstrated ability to work effectively both in a team environment, as well as independently with minimal supervision; Ability to handle complex and confidential information with discretion; Strong background using Microsoft Office suite (including Excel, Access and Outlook); Commitment to high standard of customer service; Creative problem solving ability. Experience using student information systems, preferably PeopleSoft; Experience using relational databases.

Work Format Details

This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
