Purpose:
This position supports and assists the Benefits Department in administration of employee benefit plans (medical/dental/vision/life/LTD, etc.), retiree benefit plans, and 401(k) plans, as well as assisting in a variety of other human resources support functions.
Job Functions/Accountabilities:
Welfare Plans:
- General point of contact for employees regarding questions or concerns with any employee benefit plan.
- Responsible for day to day administering of welfare plans (medical, life, LTD, etc.), billing and monitoring weekly /monthly electronic transmissions.
- Assist with updating benefit enrollment materials, HRIS tasks related to benefit enrollment and in preparing annual Open Enrollment processes, plans, and materials.
- Assist with benefit changes due to life events, such as marriage, divorce, or birth.
- Monitor Zeon's Retiree Medical and comply with internal and external accounting requests on Retiree projected costs, IBNR, and other post-employment benefit reports.
- Prepare accurate and timely COBRA paperwork company wide.
- Coordinate all benefit related activities and tasks for new hires, including ensuring enrollment and all follow up communication.
- Review elections for, and then communicate to specific employees about, any necessary additional benefit related steps, such as needing an EOI form or signing up for a Health Savings Account.
- Work with Payroll to ensure seamless transition of benefit information to payroll, including providing: 1. master list of all Open Enrollment Elections and payroll deductions, 2. Life Insurance amounts for GTL, 3. 401(k) Non-Elective contribution changes, 4. and any other requested information.
- Process wellness reimbursements, administer scholarship program, and process biweekly HSA and FSA payments. Keep up with the administration of other policies as needed.
- Keep all required Business Associate Agreements updated and on file.
- Assist in any current or future wellness programs.
Retirement Plans - 401(k) and other Retiree related tasks:
- Conduct data entry for various calculations and paperwork, including retiree medical calculations and paperwork.
- Work closely with retiring employees to ensure accurate benefit enrollment, paperwork completion and necessary communication of future benefit changes (post-Medicare eligibility).
- Prepare requested files for audits and return files upon audit completion.
- Audit various reports for accuracy.
- Promote educational opportunities.
Employee Communications:
- Demonstrate excellent customer service skills with employees to ensure appropriate, timely and accurate responses to inquiries and needs.
- Develop and implement suggestions to improve employee communications and processes for employees.
- Look for opportunities to drive employee interest in and use the ZCLP HR intranet site by increasing its value and worth.
- Manage benefit information on the Zeon Intranet.
HR Work Processes:
- Seek ways and make suggestions for HR to be innovative and more efficient.
- Look for opportunities to utilize our systems to the fullest to improve HR workflow and processes. Look for ways to improve Zeon onboarding process.
- Support Merit Increase process as requested by the Total Rewards Manager.
- Seek ways to promote innovative and efficient HR workflows, processes, and wellness campaigns.
- Produce various confidential reports for necessary vendors, Human Resources and department managers.
- Assist in headcount tracking and planning in conjunction with completion of monthly organizational charts.
- Apply a high level of skills in Excel and Word to streamline HR's tasks, provide a deeper level of data analysis, and ensure project accuracy.
Other HR Support Functions:
- Plan and execute annual events including employee family event, flu shots, retiree breakfast, and any other events that may come up.
- Invoice entry for all of HR
- Work with purchasing and accounting as needed to ensure all processes, from vendor set up to invoice payments, are done accurately and timely
- Assist in administrative tasks as needed/requested
- Coordinate safety shoe and glasses reimbursements and vouchers
- Manage onsite gym
Qualifications:
Education and Certifications:
- Associate’s degree in related field required.
- Experience in lieu of degree may be considered.
Experience:
- 5 years in Benefits Administration or a similar function, required.
Special Qualifications:
- Must have good working knowledge and/or high proven ability to learn company software packages.
- HRIS software experience a plus.
- Proficient in MS Office Suite with advanced working knowledge of Excel required.
- Must be able to handle confidential information in a professional manner
