The Program Administrator will partner with the PI co-PIs, to execute the “Educating Character Initiative” 3-year grant. The administrator will 1) coordinate grant activities, 2) oversee grant communications, 3) administer and track the expenditure of grant funds, 4) assess grant activities, and 4) supervise the postdoctoral fellow.

Position is contingent upon successful reception of grant funding (by July 11, 2025).

The administrator will coordinate help execute functions related to the grant such as faculty workshops, student seminars, and the regional humanities fellowship meetings. Event logistics include announcements, speaker and catering arrangements, and related correspondence. Administrator may need to assist with events during some evenings and weekends. The person will also manage all grant financial accounts and transactions (ensuring vendors, collaborators, and cohort members are paid and submitting requests for reimbursement), and communicate with the Office of Grants and Contracts to ensure that disbursement of funds align with university policy. In partnership with the PI, the administrator will develop metrics for assessing the grant’s success and supervise the postdoctoral fellow.

The administrator should develop a network of relationships across the University to ensure the smooth operations of the grant, especially because the PI’s of this project lead three different units at the university. This is a part-time, grant-funded position. Please acknowledge in your cover letter that you understand that the position is a part-time position.

Duties and Responsibilities:
  • BUDGET OVERSIGHT AND ADMINISTRATION: Develop and manage the grant calendar, reporting, and budgets. Prepare and review monthly reports for the PI on grant activity to ensure project remains on track and within budget. Review and submit expenses in accordance with university protocols to ensure timely payments to vendors and partners. Process travel and expense reports. Generate all project financial reports; work with the Office of the Provost in coordinating with the Controller’s Office and Procurement Office. Collaborate with the Office of Grants and Contracts and University Advancement.

  • EVENT COORDINATION: Coordinate scheduling, creation of advertisements/flyers, catering, and serve as a point of contact for event planning and execution, both for on and off campus events.

  • COMMUNICATIONS: Prepare reports for funding institution, including drafting and editing promotional materials to be posted on institution’s website. Communicate with all university and regional partners. Prepare other communication materials as needed.

  • Provide additional administrative or operational support as needed, including filing, data entry, or scheduling.
Minimum Qualifications:
Formal Education
  • Bachelor’s degree required.
Work Experience
  • Minimum of three (3) years of relevant project or program management experience.
  • Experience working within the business, non-profit, or higher education environments,
Work Skills (e.g., written and verbal communication skills)
  • Direct experience managing multiple projects, developing and administering budgets, initiating and fostering relationships, and creating and implementing technological solutions.
  • Demonstrated knowledge of Christian faith-based enterprises.
  • Must be proficient in all standard computer applications, including Microsoft Office products, and experience with enterprise systems.
