The Workplace Services Manager is a hands-on administrative and office manager position and the lynch -pin for all back office services for our Argentinian offices. The Workplace Services team manage the day-to-day running of the offices as well as providing diary management, event planning and basic HR services to our offices. You will be part of a global team and work closely with the Office Director to attain office goals, develop effective working relationships with the internal client base, and implement processes/ schedules to ensure effective and efficient day-to-day operations of the office. In this role, you will support the practice groups on ad hoc projects such as proposals and coordinating events with clients.

This position is responsible for the Buenos Aires and Rosario offices and requires knowledge of local customs, language, etc. for Argentina. You will report to the onsite Office Director and Regional Workplace Services Director who are not based in Argentina and will work closely with other colleagues across BRG’s EMEA and APAC offices. You will also be working closely with all Corporate teams (HR, IT, Billing, Finance etc) and be the key-contact for those teams in Argentina.

Due to the nature of this position, you will be expected to be in the office 5 days/week, with occasional teleworking being acceptable, and occasional travel within Argentina and to other BRG International offices.

Responsibilities:

Daily Tasks –

  • Provide management and mentoring to the Workplace Services Team in the office

  • Ensure that the office remains, operational, open and is always fully supplied

  • Manage the office budget

  • Office-wide communication of office news including critical updates and support of office culture.

  • Main point of contact for corporate departments for all office-related questions

  • Oversee office technology and identify IT related needs and issues, and be responsible for working closely with the IT team

  • Will be the first point of contact for the Managing Directors and Senior staff

Periodical Tasks -

  • Collaborate with workplace managers in the US and Internationally on office-related matters

  • Events: Planning, coordination, and execution for both internal and external focused events - in collaboration with the marketing team. Events may require after-hours onsite support and supervision

  • Vendor management: including contract and price negotiations with all Buenos Aires office vendors, service providers and building management

  • Health & Safety: Ensure compliance with all local and BRG health and safety guidelines and procedures for the office

  • Responsible for maintaining the office, organizing the office layout and liaising with corporate and office director for furniture and equipment purchases

  • Provide support to the directors to improve efficiency and seamless functioning of operations and support for their practice needs, including any ad hoc requests from them

  • Schedule meetings and appointments (Meeting set-up including ordering catering and TEAMS set-up) as needed

  • Provide general administrative assistance to office staff when required with travel arrangements, expense reports, meeting set-up, transport, conference registration

  • All departments: Be main point of contact for BRG Corporate and colleagues from other departments, handle ad hoc requests from legal, HQ, etc.

  • Maintain office-related documentation up to date for business continuity purposes

Requirements:

  • Proven experience of providing exceptional client service to visitors, candidates, and employees at all times with a positive, upbeat, and hands-on approach

  • Demonstrable problem solving abilities and with the ability to work independently, and seek guidance when appropriate

  • Proven experience managing a small team, and the ability to collaborate with colleagues globally

  • Experience working in a similar office management or support role within a Professional Services, Consulting or Law background would be a clear benefit in this role

  • Strong focus on attention to detail, follow through on assignments to completion, and multi-tasking in an environment with rapidly changing priorities

  • Advanced Microsoft Office skills including PowerPoint and Excel. Experience with Microsoft Teams a plus.

  • Proven strong time management, project management, and organizational skills

  • Exhibit excellent written and oral communication skills with a confident and clear communication style.

  • Proven experience of handling sensitive information and preserve confidentiality

  • Proficiency in English and Spanish languages required
