Job Title: Office Support Specialist

Location: Aptean HQ – Alpharetta, GA (5 days onsite)
Reports To: Director Facilities

Position Summary:

We are seeking a highly organized, proactive, and personable professional to join our team. This position is essential in creating a welcoming, professional office environment while ensuring our facilities operate smoothly and efficiently. The ideal candidate is detail-oriented, a strong communicator, and comfortable balancing front desk responsibilities with behind-the-scenes coordination and logistics support.

Key Responsibilities:

Office Administration Support:

  • Serve as the first point of contact for visitors, vendors, and clients—providing a warm, professional welcome.
  • Management of the company voicemail system. Checking voicemails and directing them to the appropriate departments.
  • Greet and assist on-site HR interview candidates and new hires.
  • Distribute employee badges and maintain access control records.
  • Coordinate daily incoming and outgoing mail, including FedEx shipments and supplies.
  • Monitor and replenish office and food & beverage supplies as needed.
  • Maintain records and assist with office-related analytics.
  • Collaborate with internal departments to support a productive workplace environment.

Meeting & Event Support:

  • Own and manage meeting room calendars for Suites 100 and 200 via Outlook.
  • Coordinate A/V, visitor access, catering, and other logistics with meeting hosts.
  • Provide local recommendations for hotels, offsite dinners, and team-building activities.

Facilities Support:

  • Liaise with outside vendors, service providers, and property management.
  • Assist in office floor plan/desk move logistics as needed.
  • Maintain and update facilities Standard Operating Procedures (SOPs).
  • Ensure the Facilities Intranet Site remains accurate and up-to-date.
  • Handle Employee Care Requests (e.g., flowers, meals, special acknowledgments).
  • Serve as a key contact for building-related issues and vendor scheduling.

Required Skills & Qualifications:

  • 3-5 years of experience in office administration, facilities coordination, or front desk support.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent written and verbal communication skills.
  • Highly proficient in the Microsoft Office Suite. Specifically, Excel, Word, Powerpoint, Outlook, SharePoint and Teams.
  • Ability to handle confidential information with discretion.
  • Professional, friendly demeanor with a customer experience mindset.
  • Experience with facilities software platforms and travel/expense tools (e.g., Navan) is a plus.

Working Conditions:

  • This is an onsite role, Monday through Friday, 8am-5pm EST.
  • Occasional light lifting (e.g., office supplies).
  • Position requires flexibility to respond to facilities or meeting needs as they arise.
