Position Description

Company Overview

This is an opportunity to join a small, highly collaborative Shareholder Services team at Lyles Diversified, Inc. The Lyles companies operate in construction, real estate development and rental, agriculture, and investments. Shareholder Services is embedded within Lyles Diversified, Inc. and serves as the primary point of contact for shareholders. Our mission is to deliver excellent service and provide guidance to our owners.


Job Description

The Shareholder Services Administrator will provide administrative support to the Director and Manager. Must possess excellent organizational skills, be detail-oriented, and will be expected to handle highly sensitive information with discretion and confidentiality. Professional interaction with employees, executives, owners, and outside advisors is essential. Additionally, the ability to manage time effectively and demonstrate proficiency in various related competencies is crucial for success in this position.


Responsibilities

Responsibilities include, but are not limited to, the following:


  1. Manage calendars, schedule meetings, and arrange Microsoft Teams calls with outside advisors
  2. Prepare, proofread, and edit agreements, documents, letters, and memos
  3. Electronically file financial and legal documents on the internal server and websites
  4. Compile and create visually engaging information and presentations for shareholders
  5. Develop and maintain standard operating procedures (SOPs)
  6. Assist in managing and updating shareholder information in the database
  7. Maintain and create Excel spreadsheets
  8. Prepare invoices and expense reports
  9. Submit, file, and track department expenses
  10. Conduct month-end financial reconciliations and assist with budget monitoring
  11. Assist with IT integration and improve work efficiency through automation
  12. Download and upload information from various software applications
  13. Prepare, file, and deliver stock certificates
  14. Coordinate outgoing mail
  15. Provide administrative support for marketing and design projects

Professional Qualifications:


  1. Associate’s or Bachelor’s degree in business
  2. 5-7+ years of experience in finance, investment, accounting, or trust profession
  3. Basic accounting skills
  4. Strong understanding of financial reconciliation and budget management
  5. Strong oral and writtencommunication skills
  6. Ensure the confidentiality of highly sensitive information
  7. Ability to organize, prioritize, and meet deadlines efficiently and accurately
  8. Design marketing materials
  9. Proficient knowledge of Microsoft Office365 (Word, Excel,Outlook, Teams, SharePoint, etc.).
  10. Ability to learn other software platforms (i.e., Addepar, WealthHub, Margill, DocuSign, ShareFile, Canva)
  11. Ability to reason and multitask
