Financial and Events Assistant



This position has the primary responsibility for the effective and efficient delivery of financial management and purchasing, event and technical support, and centralized scheduling for the Office of Conference Services. The candidate must be highly organized and proficient in financial operations, tech equipment and computer systems, and customer service.

  • Perform financial and accounting related activities in support of Conference Services operations. This includes preparation of food service invoice payments, customer invoices, settling credit transactions, preparing cash reports, purchasing requisitions, and monitoring receivables. In addition to transactional activities, the incumbent will oversee accounts receivables, assist with budget reconciliation, and other duties as determined. Candidate needs to be able to independently identify and correct transactional errors.
  • Responsible for campus scheduling operations for internal bookings and training/overseeing student employee support. Create & distribute event reports for campus departments, including Campus Police and Facilities.
  • Provide general event and administrative support for the department.

Job Summary

Assists in preparing, managing, monitoring, and reporting monthly budget operations. Performs various other accounting and disbursement functions.


Essential Functions

Excellent management skills. Ability to supervise and lead student employees. Ability to function as a team member, but also make independent, informed decisions. Knowledge of Microsoft Office and standard event audio visual equipment. Ability to work with internal and external conference clients. Proven customer service skills.


Physical Effort

The position is primarily sedentary within an office setting, but the ability to travel throughout the various campus buildings and outdoor locations will be necessary. Also, must be able to pick up and carry up to 50 pounds.
