Position Summary

McCarthy is actively looking for a qualified and dedicated full-time Administrative Assistant to support our construction materials yard and office team. The ideal candidate will be able to work in a fast-paced environment, be able to juggle multiple priorities, and have a strong attention to detail. The Yard Administrative Assistant plays a key role in supporting yard efficiency, accurate billing, and timely payroll/vendor processing, ensuring field operations run smoothly and projects remain supported.
Key Responsibilities
Office Support
  • Open and distribute all incoming mail to Yard Staff, Project Staff and respective Division Offices and package/distribute outgoing mail.
  • Keep Yard Directory updated and current and distribute monthly updated Divisional Jobsite Directories
  • Own and manage an organized digital and physical filing system to ensure quick retrieval of yard-related documentation.
  • Maintain office supplies/equipment, ordering and scheduling maintenance as necessary.
  • Perform other duties as assigned by the Yard Coordinator or management team to support yard operations.
Accounting Administration
  • Set up vendor accounts for the Yard and Jobsites as required.
  • Accurately process weekly craft payroll and resolve any discrepancies with labor tracking or job coding.
  • Review, code, and process daily vendor invoices using COR360 to ensure timely payment and financial accuracy.
  • Bill Moffitt invoices in Yard Hub.
  • Reconcile monthly vendor statements.
  • Reconcile and code monthly P-card transactions with proper job/task coding and receipt tracking.
  • Process Craft New Hires
  • Craft Expense Reports
  • Generate and bill 3rd party equipment rentals through Yard Hub with accuracy and follow-up as needed.
Qualifications
  • Must have 4+ years clerical/administrative experience preferably in the construction industry.
  • Must have excellent computer skills and be able to demonstrate proficiency with MS Office products (Word, Excel, PowerPoint, etc.) typing 50+WPM.
  • Must be able to work in a fast-paced office environment, able to multitask, meet critical deadlines with an eye for accuracy and attention to details.
  • Ability to work with all levels of project staff and organization
  • Strong communicator with ability to coordinate across field, office, and vendor teams.
