Description
The Service Coordinator plays a vital role in connecting university departments with the Facilities Planning and Operations (FPO) team. This role brings a working knowledge of general maintenance, HVAC systems, plumbing, or groundskeeping and applies that understanding to support behind-the-scenes operations.
Through exceptional customer service and organizational skills, the Service Coordinator ensures seamless coordination of maintenance requests and administrative processes. The coordinator tracks service activities, monitors building systems, and assists in scheduling and documenting repairs and preventive maintenance.
Examples of Duties
Customer Service & Operations Support (65%)
-Meet, greet, and assist customers, clients, and contractors with verbal and electronic service requests
-Assist customers inputting project requests
-Input and maintain equipment and asset records, including onsite visits for data collection.
-Create, schedule, and update work requests, work orders, preventive maintenance tasks and inspections.
-Review work orders for data integrity and accuracy to include time, materials, tasks accomplished, and completion date and time.
-Generate monthly, quarterly, and/or annual reports, as scheduled and/or requested.
-Generate recurring and ad-hoc reports for internal use.
Data Integrity & Workflow Support (15%)
- Monitor CMMS workflows and ensure proper routing and scheduling of work orders.
- Collaborate with various FPO departments to maintain accurate and efficient processes.
Department Coordination (10%)
- Train and assist department team members on the use of tablets and CMMS systems
- Attend meetings as directed by management.
Miscellaneous Duties (10%)
- Assist the Work Control Center with general office functions. - Assist in training student employees with duties and tasks
- Issue keys, radios, tablets, etc. as directed
Typical Qualifications
Education:
Associate's degree required.
Equivalent combinations of education and experience accepted:
- AA = 2 years' experience
- BA/BS = 4 years' experience
- MA/MS = 6 years' experience
Experience:
- Minimum of two years of computer experience, including at least six months with database functions in a maintenance or construction environment.
- Experience with Computerized Maintenance Management System (CMMS), preferred.
- Familiarity with maintenance-related terminology, tools, and service processes in one or more of the following areas: general maintenance, HVAC, plumbing, electrical or groundskeeping.
- Ability to interpret and support work orders involving mechanical systems, utility services, and maintenance workflows.

Working Hours and Days:
Monday-Friday 7:00 am-4:00 pm with occasional weekends and nights
Special Instructions:
