Job Description

Job Summary:

Reporting to the Department Chair, Director of Administration provides administrative leadership to the Department of Statistics. Director of Administration is responsible for the overall strategic management of the administrative, financial, and faculty support operations of the department as well as lead and implement significant departmental changes.


Job Specific Responsibilities:

In collaboration with Department Chair, Director of Administration:

  • sets strategic objectives and allocates resources to support these objectives.
  • advises and supports Department Chair and works collaboratively with faculty in support of their teaching and research objectives. May represent Chair in meetings.
  • actively participates in faculty meetings including drafting agendas and taking meeting minutes.
  • oversees human resources function for eleven staff members, including recruitment, performance management, staff relations, and training and development, and directly supervises eight staff.
  • develops departmental budget in partnership with Division of Science and FAS Finance and oversees all financial activities, does financial analysis and forecasting on departmental accounts, manages multiple payrolls, and provides oversight for sponsored research activities.
  • develops and implements policies and procedures for effective administration of the department and serves as primary source of policy information for faculty and staff.
  • determines needs and priorities for department space planning and management and shared operational resources.
  • works with Harvard International Office to initiate and manage visa and permanent residency sponsorship for faculty, and oversees the management of visas for postdoctoral fellows and visitors.
  • works with Chair and faculty committees on policy and planning matters and visiting committee activities.
  • oversees faculty services including searches and reviews, appointments, promotions, and new faculty onboarding including drafting and/or contributing to dossiers, letters, and reports.
  • oversees student services function, including graduate student funding and processing research appointments.
  • serves as staff liaison to works closely with Faculty of Arts and Sciences (FAS), FAS Division of Science and University offices to ensure that the Department administrative procedures are in line with core mission and policies.
  • handles special projects and initiatives for the Chair and performs other duties as required.


Qualifications

Basic Qualifications:

  • Bachelor's degree required, and 7 years of progressively responsible administrative management experience, that includes staff supervision and financial management in an academic or research environment.


Additional Qualifications and Skills:

  • Strong interpersonal and oral communications skills are essential, including the ability to deal diplomatically with a wide range of people.
  • Demonstrated sound judgment and discretion in handling confidential information.
  • Strong leadership and negotiation skills.
  • Ability to work collaboratively with a variety of constituents, managing change, establishing priorities, and meeting deadlines.
  • Demonstrated writing ability, as well as excellent editing and proofreading skills.
  • Thorough understanding of budgets, budget preparation, and financial monitoring.
  • Familiarity with HR practices (evaluation, hiring, etc.).
  • Ability to learn and use multiple software applications and systems.
  • Strong skills in Microsoft Office Suite, including Word and Excel.
  • Sponsored research experience is strongly preferred.

Work Format Details

This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
