Job Description

The Harvard Immigration and Refugee Clinical Program (HIRCP) supervises law students on immigration-related cases and projects who are enrolled in one of HIRCP’s two clinics (Immigration and Refugee Advocacy Clinic and the Crimmigration Clinic) or HIRCP’s “student practice organization” (HLS Immigration Project). HIRCP also houses the Harvard Representation Initiative, which provides representation to members of the Harvard community with concerns about their immigration status. HIRCP faculty and staff also teach a range of courses at Harvard Law School and other institutions. As a result, HIRCP supervises, trains, teaches, and mentors over 150 students each year.

The Program Manager is responsible for managing all administrative functions across the whole Program. Additionally, the Program Manager is expected to create, improve, and implement systems concerning expenditures, financial development, communications, event planning, staff and clinical student onboarding/offboarding and orientation, classroom support, and office management, as well as any additional tasks necessary for the Program’s operations.

As Program Manager you will:

  • Develop and implement officewide systems to ensure efficient and effective program management;
  • Work closely with Program leadership to manage the Program’s expenses and budget;
  • Plan and oversee HIRCP events, including staff meetings, officewide trainings and special events, and student-facing events such as case rounds and classes;
  • Lead, train, oversee, and direct work of support staff within HIRCP;
  • Manage HIRCP’s hardcopy and electronic filing systems and provide support for legal filings and intakes;
  • Liaise and work with HIRCP independent contractors, and third-party contractors for services including translation, expert testimony, IT services, etc.;
  • Coordinate onboarding/offboarding as well as orientation and training of clinical students, interns, and HIRCP staff;
  • With Program Leadership, develop and manage HIRCP’s communications, including social media, website, press releases, newsletters, etc.;
  • Update and maintain student office manuals, orientation and teaching materials, Canvas sites, and other guidance on HIRCP platforms, including Google Docs, SharePoint, Teams, etc.;
  • Organize and maintain HIRCP’s physical office space, phones, and mail; and
  • Complete other assigned tasks relevant to program management.

Qualifications

Basic Qualifications

College degree or equivalent experience. Five or more years of experience in office administration or related field.

Additional Qualifications and Skills

We are looking for people who have:

  • Demonstrated experience in office management, event planning, and system creation;
  • Exceptional organizational skills, attention to detail, and ability to work both collaboratively and independently;
  • Ability to make sound judgment under pressure, responsibility prioritize a range of tasks, and pivot on tasks when required;
  • Advanced experience with MS Office Suite (Outlook, Word, SharePoint, Teams, Excel, etc.), and demonstrative experience with communication/design tools such as Canva, MailChimp, etc.
  • Experience and understanding of accounting and bookkeeping;
  • Strong written and verbal communication skills; and
  • Outstanding interpersonal skills.
  • Post-graduate work a plus.

Standard Hours/Schedule: 35 hours per week, Full-Time M-F
