Administrative Assistant to Associate Dean (Academic)
The University of Pittsburgh School of Nursing is seeking an Administrative Assistant to support the academic Associate Deans to manage and triage the numerous requests in an extremely busy administrative office. Duties will include answering phones, responding to emails, greeting and directing visitors, analyzing information, designing and drafting complex reports, researching issues relative to student inquiries and concerns, and serving as liaison to faculty on critical matters related to academic issues, clinical placement, and student crises. This position requires someone who is highly organized and proficient in Microsoft office applications, in particular Word, Teams, and Outlook, as well as Zoom. Successful candidates will have strong interpersonal, communication, and analytical skills. A bachelor's degree and 3 years of experience, an associate's degree and 5 years of experience, or a high school diploma/GED and 7 years of experience is required. Experience in high level administrative office is strongly preferred.
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
Provide Associate Dean(s) with administrative support [e.g., scheduling electronic calendar; maintain files; coordination and preparation of meetings maintain confidential files, travel related purchases and expense reports].
Provide back up to Executive Admin to Dean of Nursing with general office related tasks.
Provide staff support for assigned degree program councils [create agendas and minutes with council chair] as well as collect and maintain assigned degree program course outlines.
Department purchaser for supplies & invoices, ordering through PantherExpress, and Specialty Purchasing.
Compose complex and routine correspondence for Associate Dean(s).
Assist in the maintenance of student databases associated with Associate Dean(s) position.
Assist with writing of State Board of Nursing and accreditation status reports and other special projects.
Manage and triage numerous requests in a busy administrative office.
Light physical effort typical of an office environment. Must be able to sit or stand for long periods of time.
