Overview

As our Mail Services Coordinator, you will be the central hub for our company's physical communications. You'll play a vital role in ensuring the seamless flow of information and packages across our Ripon facilities, connecting our teams and supporting daily business operations. We're looking for a reliable and organized individual who takes pride in their work and understands the importance of this key office services function.



Responsibilities

  • Manage the daily collection and distribution of incoming mail from the local post office using a company vehicle
  • Sort and deliver all interoffice and external mail accurately across all Ripon facilities and departments
  • Prepare, process, and dispatch all outgoing mail and packages via USPS, UPS, FedEx, and DHL, ensuring timely pickup
  • Operate and maintain mailroom equipment, such as postage meters and scales
  • Monitor and order all necessary mailroom and shipping supplies to maintain inventory
  • Serve as a friendly and professional back-up receptionist during scheduled breaks, vacations, or absences
  • Coordinate the scheduling and use of company vehicles, ensuring they are refueled and cleaned, as needed
  • Perform other administrative duties as requested to support the Office Services team


Qualifications



Education and Experience:

  • Requires high school diploma or equivalent

Skills and Abilities:

  • Familiarity with basic postal rules and regulations
  • Excellent customer service and interpersonal skills
  • Strong organizational skills with a keen attention to detail
  • Ability to manage multiple tasks concurrently and prioritize effectively in a fast-paced environment
  • Proven problem-solving skills and the ability to work independently

Standard and Physical Requirements:

  • A valid driver’s license with a clean motor vehicle record is required
  • Involves frequent standing, walking, stooping, and bending, along with the manual dexterity to handle mail and packages
  • Capable of lifting, moving or carrying items up to 50 pounds
