Overview
As our Mail Services Coordinator, you will be the central hub for our company's physical communications. You'll play a vital role in ensuring the seamless flow of information and packages across our Ripon facilities, connecting our teams and supporting daily business operations. We're looking for a reliable and organized individual who takes pride in their work and understands the importance of this key office services function.
Responsibilities
Manage the daily collection and distribution of incoming mail from the local post office using a company vehicle
Sort and deliver all interoffice and external mail accurately across all Ripon facilities and departments
Prepare, process, and dispatch all outgoing mail and packages via USPS, UPS, FedEx, and DHL, ensuring timely pickup
Operate and maintain mailroom equipment, such as postage meters and scales
Monitor and order all necessary mailroom and shipping supplies to maintain inventory
Serve as a friendly and professional back-up receptionist during scheduled breaks, vacations, or absences
Coordinate the scheduling and use of company vehicles, ensuring they are refueled and cleaned, as needed
Perform other administrative duties as requested to support the Office Services team
Qualifications
Education and Experience:
Requires high school diploma or equivalent
Skills and Abilities:
Familiarity with basic postal rules and regulations
Excellent customer service and interpersonal skills
Strong organizational skills with a keen attention to detail
Ability to manage multiple tasks concurrently and prioritize effectively in a fast-paced environment
Proven problem-solving skills and the ability to work independently
Standard and Physical Requirements:
A valid driver’s license with a clean motor vehicle record is required
Involves frequent standing, walking, stooping, and bending, along with the manual dexterity to handle mail and packages
Capable of lifting, moving or carrying items up to 50 pounds
