Position Overview:

The Permit Coordinator plays a critical role in supporting the Private Provider Building Inspection Department by managing permit submittals, inspection scheduling coordination, client communication, and ensuring compliance with local jurisdiction requirements. This individual serves as the primary point of contact between the firm, clients, and municipal permitting offices to maintain smooth project workflows and timely inspections.

Key Responsibilities:

  • Prepare and submit inspection results, affidavits, and other required documentation to local municipalities and permitting authorities.
  • Coordinate daily inspection schedules with inspectors, clients, and jurisdictions.
  • Monitor project timelines to ensure inspection and permit compliance deadlines are met.
  • Serve as primary client liaison, providing updates, answering inquiries, and resolving permit-related issues.
  • Track and manage all active project permits, inspection requests, approvals, and re-inspection needs.
  • Maintain up-to-date knowledge of jurisdiction-specific private provider submittal procedures and requirements.
  • Assist in compiling and preparing Private Provider packages, affidavits, notices, and related compliance documents.
  • Support billing and invoicing processes related to inspection and permit activities.
  • Ensure accurate documentation is stored and organized according to company and jurisdictional standards.
  • Communicate proactively with inspectors, project managers, clients, and municipal offices.

Qualifications:

  • High school diploma or equivalent required; Associate's degree or higher preferred.
  • 2+ years of experience in permitting, construction administration, or building inspections industry strongly preferred.
  • Knowledge of private provider processes and Florida Building Code is a strong plus.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to manage multiple projects and deadlines simultaneously.
  • Professional demeanor and customer service orientation.

Preferred Skills:

  • Experience using permit tracking software and/or CRM systems.
  • Familiarity with local permitting jurisdictions (especially in Florida).
  • Ability to work independently and as part of a team.
  • Problem-solving skills and ability to think critically under pressure.
