To assist in actualizing our mission, we seek candidates for the position of College Payroll Specialist Coordinator. The position’s job responsibilities are as follows:
College Payroll Administration and Management:
- Serve as the lead for all day-to-day functions of the College Payroll Office. Management of the College Payroll processes, including but not limited to, providing direction, training, guidance, and problem resolution relating to college and department issues.
- Work closely with other departments such as Human Resources, CoSW Business Office, and other payroll specialists to ensure payments to employees are made accurately and timely with the guidelines of the University, federal and state policies and procedures.
- As the responsible lead, establish a college tracking system to ensure all payroll requests are tracked, changes noted, and payments are made on time.
- Provide leadership in problem resolution in all day-to-day functions of the CoSW Payroll Office. Serve as the lead on reporting for all payroll functions of the college.
- Develop payroll reports in SAP and other internal tracking software to perform regular audits of information and ensure accuracy of data in SAP, including cost distribution. Develop reports for senior administrators on an as-needed basis.
- Serve as the lead on all postdoctoral appointments in the college.
- As the lead liaison with central offices across campus and CoSW’s Payroll Office, continue to foster a collegial relationship while maintaining the college’s commitment to excellence.
Management and Lead on Visas:
- Serve as the lead and college contact on visas and the appropriate processing of documentation and work closely with the International Center to process visas for faculty, visiting scholars and staff.
- As the lead on visa processing, serve as an advisor to department managers and other payroll specialists to effectively resolve visa-related issues and identify ways to prevent them in the future.
Supervision:
- Provide leadership and supervision of staff on the payroll team.
- Interview applicants for vacant positions and select the best candidates.
- Develop payroll staff through effective coaching and counseling.
- In conjunction with Human Resources, apply appropriate and consistent corrective action.
- On a routine basis, provide direct reports with performance and behavior related feedback.
- Complete performance evaluations on at least an annual basis.
- Foster communication through regular staff meetings.
- Ensure compliance with UK policies and procedures, state, federal and local regulations.
- Constantly monitor the work environment for opportunities for improvement and implement improvement initiatives.

Organizational Improvement:
- Participate in continuous improvement activities.
- Provide input for the ongoing improvement of a college-wide ticketing and tracking system to ensure the most effective and efficient means of tracking customer needs.
- Assist in identifying and changing processes and workflows for improvement. This includes tracking changes in cost distribution, and entering through CDEM.
