Description

1. Inspects, receives, exercises proper handling, sorts and delivers incoming and outgoing mail, packages, and materials received at the Distribution Services Center. Delivers packages and materials within 24 hours of receipt or sooner unless oversized or over 50 lbs.
2. Coordinates with Facilities, Planning and Operations Set Up departments to arrange delivery of oversized packages or shipments exceeding 50 lbs.
3. Picks up mail at scheduled locations, meters, accounts for, weighs all classes of outgoing mail and takes to the post office.
4. Sets up and operates labelers, tabbers, inserters, sealing machines, printers, copy machine, postal software, and package tracking software for bulk/campus mailings.
5. Coordinates with freight carriers to ensure timely and accurate shipments including document preparation, control and filing activities.
6. Resolves shipment issues and communicate with internal customers and external vendors and carriers about any delays.
7. Addresses customer inquiries in a timely manner to ensure customer satisfaction.
8. Notifies property control personnel upon receipt of fixed asset purchases, which must be inventoried by accounting services.

  • Inspects, receives, sorts and delivers incoming and outgoing mail, packages and materials.
  • Creates an entry for each package in the package tracking system, prints barcode label, affixes to package and places in the proper delivery location to be delivered.
  • Determines appropriate routing of packages and materials from the package list by accessing the purchase order using the ERP or e-procurement system or from the package itself, contacting the Procurement Specialist I for their assistance, if necessary.
  • Loading and unloading mail, packages and materials.
  • Exercises proper handling safeguarding and routing of all mail, packages and materials.
  • Delivers packages and materials within 24 hours of receipt or sooner unless oversized; morning mail is to be delivered upon check-in.
  • Processes bulk/campus mailings in an efficient and economical manner with proper usage of software, printers, copiers, and various equipment.
  • Performs document preparation, control and filing activities for mail and packages as required.
  • Recognize suspicious packages and implement security procedures. Recognize release or potential for release of hazardous substances from packages and implement security procurement.
  • Inspect for visible and/or concealed damage and verify number of packages, pieces, etc. prior to accepting delivery. Note degree of damage and/or shortages on freight carrier's delivery ticket or Bill of Lading.
  • Work with Facilities, Planning and Operations to ensure oversized packages and/or packages over 50lbs are delivered in a timely manner.
  • Determine packages of materials requiring special handing (i.e., priority, next day delivery, fragile, keep refrigerated or frozen, live specimens, etc.).
  • Prepare Bill of Lading and other necessary documents for shipping out packages and materials to be picked up by freight carriers
  • Maintain receiving log and provide reports on daily, weekly, monthly, quarterly and annual basis as required.
  • Review and assist in maintaining the Office of Technology technology-related purchases to be delivered to the Office of Technology.
  • Provide end using department proof of delivery signature that is maintained in the package tracking software database.
  • Notify property control personnel upon receipt of fixed asset purchases, which must be inventoried by accounting services.

  • Follow-up with Procurement Specialist I as to status of package/materials awaiting return authorization and/or proper routing.
  • Provide routine report of undeliverable items to Distribution Center Manager and Director of Procurement and Materials Management.
  • Respond to inquiries and early notification from university personnel regarding expected deliveries.
  • Refuse shipments as appropriate.
  • Clean service vehicles and work area at least weekly.
  • Develops new ideas to improve distribution quality and efficiency.


Typical Qualifications

Education:
  • High school diploma or equivalent
Experience:
  • Two years' mail experience preferred.
  • Knowledge of postal and shipping regulations preferred.
  • Previous shipping and receiving, materials handling, warehouse or related experience preferred.
