Job Description

Provides high-level administrative support to Senior VPs of Sales, with responsibilities such as managing calendars, overseeing email and inbox communications, and coordinating meetings with internal and external stakeholders.

  • Liaising with senior internal and external stakeholders
  • Ensure supported executives are on time and well-prepared for meetings and events
  • Act as a liaison and first point of contact on behalf of senior executives, managing requests, prioritizing communications, and ensuring efficient information flow
  • Main point of contact for queries for the Department
  • Preparation and editing PowerPoint presentations, Excel spreadsheets and Word documents
  • Process invoices and raise expenditure requests when necessary
  • Review and approve expenses in accordance with Company Policy and holiday requests from direct reports.
  • Weekly reporting as required
  • Organizing complex diary and travel itineraries
  • Undertaking projects on a regular basis.
  • Comfortable with being available outside normal office hours should the need arise.
  • Manage some ad-hoc personal tasks such as bookings, invoices, and general administration.

Qualifications

  • Educated to a degree level or similar
  • A minimum of five years experience in a similar PA/EA position
  • Experience of working in the software/technology industry an advantage
  • A knowledge of Finance/Operations at a senior level is strongly preferred
  • Excellent written and verbal communication skills
  • Competent with Microsoft Office packages, particularly Word and Outlook
  • Experience of supporting remote, global leaders is strongly preferred
  • Ability to manage multiple tasks in a timely manner

  • Uses initiative with minimal supervision
  • Dedicated to the quality and accuracy of projects from inception to completion
  • Reliable, trustworthy and ability to maintain confidentiality at all times
  • Can manage a heavy workload with strict deadlines
  • Excellent organizational skills with the ability to priorities, multi-task and co-ordinate workloads and work under pressure to meet deadlines
  • Good time management skills
  • Flexible and willing to take on ad-hoc tasks
  • Comfortable working independently and as part of a team

Technical skills:

  • MS Office applications excellent level
  • Good IT skills and the ability to produce reports and manage data
  • MS Office
  • Social media applications (Internal use)
