Description

Wagman is a multi-faceted construction firm with operations in heavy civil, general construction and geotechnical construction services. Founded in 1902, Wagman is a fourth generation, family-owned company with offices in Pennsylvania and Virginia. As a full-service general contractor, Wagman Construction facilitates growth and development in senior living, healthcare, higher education, urban, institutional, and industrial markets in central Pennsylvania, Virginia and Maryland.

The following is a list of the major responsibilities of the Project Coordinator:

Financial
  • Process Applications for Payments to Owners. Assist Project Manager (PM) in assembling costs and expenditures, generating the Application, entering the Application in Viewpoint, processing the forms for signatures from both WCI Executives and Architect, and formally submitting to the Owner for payment.
  • Scanning and processing all Vendor and Subcontractor invoices and Applications for Payment, including receiving and coding for approval.
  • Assisting the Project Manager in collecting invoices and Release of Lien forms from Vendors and Subcontractors.
  • Assisting the Project Manager with reviewing, initiating Owner proposed Change Orders and Owner Change Orders, initiating Subcontractor and Vendor Change Orders, and processing all until fully executed.
  • Perform limited quantity take-offs to assist the Project Manager with verifying Change Order proposal amounts.
  • Assisting with Payroll Per Diem processing.
  • Other duties as assigned.

Project Management

  • Assist with the Project set-up in Procore. Upload drawings and specifications, generate submittal logs, add Project contacts as needed, and input information as needed into Procore throughout the Project.
  • Archive all information from Procore at the completion of the Project.
  • Assist with obtaining the permits for Projects.
  • Writing and distribution of Project Meeting Minutes.
  • Receive, log, review, prepare and distribute requests for information, (RFI). Review RFI questions and answer with Supervisor for appropriateness and potential changes.
  • Receive, log, review, prepare and distribute submittals. Review submittal with Supervisor for general compliance with the Contract documents. Pursue timely receipt of submittals and advise Supervisor of late submittals.
  • Receive, log, review, and distribute LEED, RACP, Prevailing Wage, and other contractually required documentation.
  • Develop and maintain document logs, including the Enumeration of Documents, Potential Change Orders (PCO), Contingency, Shop Drawings/Submittals, Requests for Information, Punch Lists/Work Deficiency, Closeout Logs, Matrices for Projects, and Procedure Manual for Viewpoint.
  • Post RFIs and other information to the drawings on Procore as required.
  • Provide administrative assistance to Project Team as required.
  • Visit the jobsite(s) to gain an understanding of the relationship between the materials on site and the submittals.
  • Effective use of Viewpoint software.
  • Provide Viewpoint assistance to all Team members.
  • Serve as liaison to Subcontractors, Vendors, Project Team and Wagman home office.
  • Coordinate and assist with close-out documents.
  • Other duties as assigned.

Contract Administration

  • Entering Purchase Orders, Work Orders and Professional Service Agreements in Viewpoint. Distribute for execution and track ball-in-court throughout the process.
  • Assist the Subcontractor Prequalification Coordinator in obtaining Certificates of Insurance and any other Contractually required documents prior to the start of work.
  • Assist the Project Manager in obtaining Final Completion information from the Vendors and Subcontractors.
  • Assist in the writing and distribution of Notice letters as required.
  • Other duties as assigned

Physical Requirements of the Essential Function:

  • Must be able to lift up to 20 pounds from ground level.
  • Must be able to perform simple grasping and fine manipulation tasks with both hands.
  • Acceptable corrected vision (in both eyes) and acceptable corrected hearing required.
  • When in the office or other locations in meeting-type situations will sit a major portion of an 8-hour day.
