Event Coordinator

We are currently searching for an Event Coordinator to join our dynamic Marketing and Events team in our Pittsburgh office. The dedicated Event Coordinator will work directly with the Senior Manager – Communications & Events and will be responsible for coordinating details and logistics for client-facing, internal and community events including seminars, webinars, receptions, conferences, retreats, client entertainment and more. The Event Coordinator will also manage the inventory of promotional and event items. Working directly and indirectly with the firm’s attorneys, professionals and leadership team, this position offers a fantastic opportunity to advance your event career or leverage your knowledge in a fast-paced environment.

In this position, you will:

  • Collaborate with the Senior Manager – Communications and Events to drive strategies through the creation and ownership of programs, seminars, webinars and events.
  • Work with our Continuing Legal Education (CLE) team to coordinate all aspects of our virtual and in-person CLE programs, including creating promotional materials, social media posts, preparing program content, scheduling Zoom sessions, providing real-time support, generating post-event reports and coordinating all follow-up materials.
  • Source and manage logistics for external venues and vendors as needed. Utilize Excel to create budget estimates for events and report on their success.
  • Draft and edit copy and design for event invitations and materials, including signage, agendas, brochures and presentations. Utilize Buchanan’s email management system to develop, launch and deploy invitations, registration forms, email confirmations and post-event communications.
  • Order, process and manage inventory of promotional items, gifts, specialty items and event materials, including banners, name tag supplies and table throws, while adhering to the budget. Additionally, prepare and stuff name tags for distribution at events and coordinate shipments of assets, promotional items, and collateral needed for events and trade shows.
  • Maintain the firm event calendar and track events using Excel, ensuring all details are up-to-date and accessible for team members. Additionally, post events to the internal intranet and external website.
  • Represent the firm at events, seminars, and conferences as required or assigned, including managing event setup, staffing, interfacing with venue management/staff, and engaging meaningfully with clients and prospects.

    Successful candidates will have:

    • Bachelor’s degree in marketing, business, or a related field.
    • A minimum of three to four years of experience in event planning and/or marketing.
    • Proven experience in developing and executing successful events and marketing campaigns.
    • Strong computer skills including advanced knowledge of Microsoft Word, Excel and PowerPoint.
    • Ability to work outside of normal business hours, which could include weekends.
    • Ability to travel as needed.
    • High energy individual with an ability to handle multiple projects and problem solve in a fast-paced, dynamic environment.
    • Excellent written and oral communication skills, including strong writing and editing skills and a high attention to detail.
    • Ability to prioritize and manage workload, stay organized, work independently and as a member of teams, and complete tasks under time pressure as necessary.
    • Ability to perceive big picture in addition to attention to details and specific touches.
    • Strong work ethic and service orientation.
    • Not above menial event tasks such as name tag stuffing or table setting.
    • Commitment to professional growth and development.
    • Ability to demonstrate flexibility and initiative.
    • Poise, tact and professionalism when interacting with internal and external contacts.
    • Proficient in market research and analysis techniques.
    • Familiarity with digital marketing tools and platforms.
