Essential Job Functions:
The Supply Clerk assists the Baltimore City Circuit Court with delivery of equipment and supplies, receiving, shipping, and maintenance of inventory of physical assets and other supplies/consumables. The incumbent ensures the receipt, distribution, and collection of mail in three buildings. Assists in the coordination of vendor activities such as Jobsite assessment such as painting, flooring, cleaning, electrical work, and other special projects. Collects meter readings and data for copy machines and makes service calls for equipment in three buildings. Provides customer service at front counter. Additional duties include filing, repairing, duplicating and scanning, distributing and locating court files, preparing files for court hearings, performing data entry, and other duties as they are assigned throughout various departments.
Essential Duties and Responsibilities:
Receiving mail from the USPS, UPS, Fed-Ex, and any other mail/parcel carriers as needed. Sorting incoming mail and delivering to Clerk?s Office divisions across three buildings. Picking up outgoing mail, sorting by division, and utilizing electronic scales, allocators, and mail machines to apply postage to outgoing mail. Maintain and record meter readings for mail machines. Delivering USPS mail to Post Office location in Courthouse East as well as assisting Clerk?s Office divisions in the delivery of mail/parcels from other carriers.
Receiving, shipping, and inventory of supplies and equipment for stockpiling and distribution between three buildings. Maintaining stock areas for cleanliness and access. Filling requisitions and verifying that office supplies and equipment are delivered to divisions. Assist in the delivery of any other supplies or consumables to divisions as assigned. Assist in the inventory of physical fixed assets and any other routine inventory/supply reports/audits, and any other inventory matters as assigned.
Assist in the coordination of special projects, service calls for equipment and delivery of supplies and equipment, which includes calling in service requests, preparing areas for work to be performed, supervising vendors while work is performed, providing access for vendors and deliveries, and assisting otherwise as assigned.
Assist in the disposing of excess property and supplies/consumables, which may include tabulating quantities, transporting excess property and supplies/consumables to other locations within Courthouse buildings, and assist in the coordination of pick-up and disposal of excess property and supplies/consumables.
Repairing, duplicating, scanning/linking and distributing court files, preparing files for court hearings, performing data entry. Performs housekeeping duties by eliminating files, checking for misfiles or loose motions, ensuring numerical order, and shifting files, as needed. Assists the public, attorneys, and court staff in-person and via telephone with questions concerning court records, copies, and other court-related inquiries. Assists with any other filing duties as assigned. Assist in the transfer of records to State Archives.
Minimum Qualifications:
Education: High school diploma (or GED equivalent).
Experience: Two (2) years of clerical experience to include one (1) year of work experience in providing central mail services, receiving, storing, issuing supplies, materials, or equipment in a storeroom, warehouse, or other supply storage facility.
Knowledge, Skills, and Abilities:
Knowledge of:
Knowledge of the methods involved in receiving, storing, and distributing supplies.
Knowledge of modern mail practices, procedures, and equipment.
Knowledge to operates postage meters, scales and various other mailroom and standard office equipment.
Knowledge of the maintenance of supply records and inventory controls.
Knowledge of purchases and requisition procedures.
Ability to pick-up, sorts, and delivers mail, packages, documents, and other materials between geographically distanced court facilities.
Ability to determine quantity and quality of goods in relation to purchase orders and requisitions.
Ability to maintain perpetual inventory records.
Ability to establish and maintain effective working relationships with co-workers and others.
Ability to lift equipment, materials and supplies weighing ten or more pounds.
Ability to work within time constraints, meet fixed deadlines, and demonstrate good organization skills.
Ability to follow procedures, verbal and written instructions, and protocols for given assignments.
Ability to sort, process, verify, proofread, scan, and file miscellaneous reports and documents.
Ability to communicate clearly, tactfully, and effectively.
Ability to perform basic mathematics.
Physical Requirements:
Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Equipment, Machinery and Tools:
Personal computer, fax machine, printer, scanner, copier, calculator, multi-lined telephone, hand truck (to include motorized hand trucks), mail folding/inserting machine, electronic mail scale, allocator and postage machine.
Software and Computer Skills:
Microsoft Suite, Outlook, Word, Excel, GEARS, ODYSSEY, Connect, Kiosk, Teams, Scanning Software
