Description:
The Administrative Assistant serves as the first point of contact for our office. This role combines traditional receptionist responsibilities with support for HR functions, requiring an organized, personable, multitasking professional that can interact with line staff and high-level management in a manufacturing environment.
Receptionist Duties (Primary Focus – ~70%)
Greet and welcome visitors in a professional and courteous manner.
Ensure all visitors complete required forms and submit to all check-in requirements.
Answer, screen, and direct incoming phone calls.
Maintain a clean and organized reception area.
Manage incoming and outgoing mail and deliveries.
Schedule and coordinate meetings, appointments, and conference room bookings.
Assist with general office upkeep and supply inventory.
HR Support Duties (Secondary Focus – ~30%)
Assist with onboarding new hires, including preparing welcome materials and scheduling orientations.
Support HR team with scheduling interviews and communicating with candidates.
Help coordinate employee events and wellness initiatives.
Maintain confidentiality of sensitive employee information.
Requirements:
High school diploma or equivalent; associate's or vocational certification preferred.
2+ years of experience in an administrative or receptionist role.
Prior exposure to HR tasks or interest in HR is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
