Essential Job Functions:  

This position will provide administrative support for the State Court Administrator (SCA) and Deputy State Court Administrator (DSCA) Offices. This position will maintain the SCA and DSCA calendars, coordinate meetings, make travel arrangements, review expense reports, order and maintain office supplies, prepare and send correspondence to justice partner agencies and various other administrative duties. This position will facilitate (staff) the Conference of Circuit Court Clerks and Conference of Circuit Court Administrators. This position demands the utmost discretion, dependability and trustworthiness.

Essential Duties and Responsibilities:

Administrative Services.

Provide administrative support to the SCA and DSCA offices which includes managing calendars, coordinating meetings, making travel arrangements, ordering office supplies, maintaining office equipment, processing expense forms, drafting and distributing routine correspondence, distribute incoming mail, maintaining and digitizing office files, and performing other duties as assigned by the SCA, DSCA, Project Administrator to the SCA, Court Operations Specialist, and Administrative Services Manager.

Review and maintain credit card reports.

Manage and maintain requests for Pro Hac Vice attorneys.

Receive and screen visitors, phone calls and information inquiries received by the SCA and DSCA Offices.

Compose correspondence either independently or with brief instructions. Review documents for accuracy, format and conformance with policies, rules and statutes.

Conference Facilitation.

Coordinates and facilitates/staffs the Conference of Circuit Court Clerks and Conference of Circuit Court Administrators. This includes scheduling meetings, preparing and maintaining agendas, arranging catering services, drafting meeting minutes and identifying and tracking meeting action items.

Active member on annual conference planning committees such as: Joint Conference, Clerk?s Conference.

Annual Reports.

Coordinate the collection of annual committee and state of the court reports.

Collect and distribute according to policy legislative reports to external agencies.

Performs other duties as assigned by the Administrative Services Manager to support the functions and initiatives of the judiciary.

Minimum Qualifications:

Education:

High School (or GED equivalent).

Experience:

Three (3) years experience serving in an administrative capacity to a senior level manager.

Preference:

Experience with the Microsoft Office Suite, Adobe, and Gears. Experience working in a court or a legal system setting is preferred.

Preferred:

Bachelor's Degree from an accredited College or University.

Knowledge, Skills, and Abilities:

Knowledge of:

Legal terminology and court procedures.

Comprehensive knowledge of standard office operations, procedures, and technology ? Advanced English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.

Judicial policies and procedures.

Judiciary Human Resources policies and procedures.

Skill in:

Performing a variety of duties often changing from one task to another of a different nature.

Organization and time management.

Highly proficient usage of standard office equipment, computer equipment, and computer applications.

Advanced usage of Microsoft Office products to include, but not limited to, Excel, Word, PowerPoint, Outlook, SharePoint, etc.

Problem solving, prioritizing, scheduling, and decision making.

Reading, comprehension, proofreading, and editing.

Accuracy and attention to detail.

Interpersonal communication and relations.

Ability to:

Meet work schedules and deadlines.

Follow oral and written instructions.

Compose routine and complex business correspondence.

Draft routine correspondence.

Provide assistance, guidance, and direction to others in a professional and efficient manner.

Maintain records and prepare reports.

Physical Requirements:

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Software and Computer Skills:

Microsoft products (Word, Excel, SharePoint, Teams), Adobe Suite, Zoom for Government, JPortal, Attorney Information System (AIS), and Odyssey.
