Job Description Summary
The University of South Alabama’s department of Human Resources is seeking to hire a Leave and Accommodations Specialist. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
- Manges all aspects of the University General Division leave of absence program to include: providing FML information and guidance to faculty, staff, and administrative employees in the University General Division; determining FML eligibility, prepares applicable correspondence to employees, and maintains up to date FML data in the Banner HR/Payroll System; reviewing monthly reports from payroll and sends appropriate correspondence to employees regarding unpaid employee benefit premiums; staying abreast of Family Medical Leave (FML) regulations; providing information and guidance to faculty, staff, and administrative employees in the University General Division in regards to all other available options for a leave of absence, including but not limited to a personal leave of absence, DMAT and military leave. Determines eligibility, prepares applicable correspondence to employees, and maintains up to date applicable data in the Banner HR/Payroll System.
- Administers the Long-Term Disability program; to include providing LTD information to faculty, staff, and administrative employees of the University General Division, preparing correspondence to employees, assisting with filing of claim documentation, monitoring claim progress and maintaining LTD data in the Banner HR/Payroll System.
- Administers ADA accommodation assessments; monitors implementation of workplace accommodations, and maintains ADA data in the Banner HR/Payroll System.
- Maintains various databases using Excel, and extracts reports using Banner.
- Facilitates and presents supervisory training related to employee health and safety, FML, and ADA.
- Works closely with Student Health, to coordinate vaccinations for University employees, as applicable, including but not limited to the flu and/or COVID-19 vaccines. Handles cost expense transfer associated with the dispensation of vaccines.
- Administers the on-the-job injury program for University General Division employees to include: serving as the primary contact for the University General Division On-The-Job-injury (OJI) program by providing training, guidance and daily support to employees, supervisors and administrators; ensuring OJI policy and procedure are up to date; working closely with the USA Health Human Resources assigned OJI consultant to ensure policy and procedure are properly applied; serving as primary point of contact for the Third-Party Administrator (TPA) when guidance is requested; serving as liaison between TPA, employee and supervisor to ensure proper application of the OJI policy and procedure; working closely with supervisors to ensure the leave of absence request form is accurately completed and submitted to the payroll office for any applicable OJI wage replacement benefit; following up with supervisors to ensure applicable OJI records are ended when employees have returned to work. Informs payroll when wage replacement should end; closely reviewing the OJI medical documentation to determine if the leave will extend two weeks or more to ensure employees are promptly advised and provided with all applicable employee benefits available, including but not limited to FML, ADA, LTD, and TRS Disability; counseling supervisors regarding completion of the leave of absence request form as employees are moving through the leave of absence program; ensuring that the leave of absence request form is accurately updated and submitted to the payroll office based on the employee’s transition from one leave type to another without eliminating the wage replacement benefit; processing TPA’s requests for bank account funding (invoice) and contract payment invoice by providing accurate charge account; requesting Journal Voucher (JV) entries for all OJI expenses paid by the TPA based on the employee receiving the benefit and provides accurate charge accounts.
- Interacts with third party wellness providers to promote and encourage employee participation in wellness initiatives; plans, implements and coordinates activities and projects related to workplace wellness, disease prevention and health lifestyle programs; promotes health related monthly national observances through promotions, newsletters, and other sources.
- Evaluates employee health needs and implements health activities such as weight loss programs, smoking cessation programs and employee health screenings.
- Participates in new employee orientations, presenting wellness, health and safety related session.
- Follows HIPAA compliance regulations to include appropriate handling of confidential information.
- Travels to various USA buildings and/or campuses as needed to attend meetings, conduct or facilitate training programs, and make presentations.
- Conducts special projects and surveys as assigned.
- Serves on various committees as assigned.
- Serves as a liaison between University applicable offices and Human Resources in regards to implementing a response when a local, state or national medical emergency has been declared, including but not limited to an epidemic or pandemic.
