Family Resource Administrative Specialist

Working Conditions: Growing Together will provide normal office equipment (laptop computer, copier, office furniture). Most of the work week is spent inside the office in supporting the Program Director, Specialists, and program in office management, projects and data entry. Reliable transportation is a necessity and overnight trips may occasionally be necessary for training or required meetings. Position is subject to mild/moderate stress. This position will work across two offices and split time between two locations—one in Mexia, Texas and the other is Hillsboro, TX. Flexibility to travel between the offices is necessary. Mileage will be reimbursed between offices. When assisting with community events, this position will require an employee to be able to stoop, bend, stand and lift over 25lbs.


Position Summary: This position will provide administrative support of the HOPES team in its work to assist the program through such related duties as clerical, records, project management, supportive resource for program staff, training coordination and documentation, and intake support. This position provides no more than 20 hours of work per week. This position supports the work of HOPES to promote prevention of child abuse and neglect, public awareness, and child development and well-being in Limestone, Freestone, and Hill counties. To work cooperatively with all HOPES staff, inspiring and promoting confidence, motivation, and growth in achieving goals and desired outcomes for the HOPES program and the overall community. This position reports directly to the FRC Supervisor.


Essential Job Functions

  • To be responsible for managing and reporting training for the Growing Together program and facility inspections
  • To assist in orientation of new staff members, training manuals, and materials.
  • To assist in creating projects and mailings to assist in the delivery of service
  • Ordering all office supplies, coordinating computer and copier related services
  • Responsible for gathering and maintaining all HR related documents and employee files
  • Assists with managing client records and FSS contract.
  • Responsible for entering all data and documentation into the PEIRS system and in an accurate and timely manner.
  • Supporting the FRC Supervisor with office related clerical skills.
  • Ordering food for Growing Together community and program events
  • Offering a warm and caring welcome to those who enter the Growing Together office for services
  • Managing basic needs assistance along with GT Staff to provide gift cards and bill assistance
  • Assist with any FRC programs and projects as requested


This position requires administrative leadership and excellent interpersonal and computer skills. The ability to work with a wide variety of administrative support tasks and competence in handling a fast-paced environment is required. Flexibility is vital to promote program goals and assist the PD as needed. Possessing administrative skills is essential along with strong organizational skills, time management, and flexibility in responding to urgent needs. Possessing strong administrative skills in modeling and training best practice and ethical standards are essential. This position requires a highly motivated self-starter with special abilities in supporting and collaborating with agency staff. The ability to prioritize tasks and manage competing demands, able to work effectively with minimal supervision and skill to work as a member of a professional team is required. This position must have excellent skills related to use of computer and Microsoft Office software; good typing skills (60 WPM or above), and able to effectively use other office equipment (e.g. copier, printers)


Desired Job Qualifications:

  • Must be at least 18 years of age
  • Must have valid Texas drivers license and good driving record
  • High school education or GED equivalent
  • At least 2 years previous experience in a job performing related tasks
  • Bilingual preferred


Other Requirements: Must hold a valid driver’s license, have and maintain a risk-free driving record. Must be willing to undergo initial and periodic child abuse/neglect, criminal history, sexual offender, and childcare/elder care disqualification list screenings. As requested, must submit fingerprints for review by the state of your employment and Federal Bureau of Investigation (FBI). Must undergo a pre-employment drug screen and a pre-employment physical with the results showing no evidence of communicable disease.
