The Student Success Operations Specialist provides high-level administrative and project management support to the Assistant Provost of Student Success and Dean of Students, serving as a key liaison among the Division of Student Success, campus partners, external stakeholders, and students. This role combines executive-level support, operational coordination, and program leadership to help the Division deliver on its mission of fostering student success and engagement. Core Responsibilities Include:
- Executive Support: Provide comprehensive executive-level support to the Dean of Students, including calendar and meeting management, prioritizing initiatives, preparing agendas, reports, presentations, and handling sensitive communications with discretion. Initiate and support DOS "see and be seen" events and opportunities, cultivating student belonging and mattering.
- Project Management & Coordination: Lead and track divisional projects and initiatives to ensure alignment with strategic goals. Foster a culture of assessment and strategic planning within the Division and support staff in executing initiatives effectively. Organize events and oversee divisional marketing and communication efforts to the campus community, students, and families. Create reports and manage divisional budgets and financial requests.
- Program Ownership: Manage and oversee key programs such as Basic Needs (e.g., Swipe Out Hunger, emergency funding), annual report and KPI tracking, divisional strategic and operations calendar, communication strategies and deliverables, and strategic and timely projects and services.
- Student & Stakeholder Support: Collaborate with departments and campus partners to guide students through challenges, refer to resources, and promote an inclusive, supportive culture. Support a vibrant student experience. Communicate effectively with families. Prepare communications to various stakeholders and synthesize work and outcomes of the Division.
- University & Divisional Engagement: Support and participate in major campus events (e.g., orientation, family weekend, commencement) and signature student experiences, maintain website and social media content, serve on committees, and uphold the mission of diversity, equity, and inclusion. Provide ongoing support and positive energy and presence to the Division and the campus community. Promote efficiency and courtesy throughout the University community, ensuring consistency with Student Success' mission and values. Remain cognizant of the University's mission and identity, the constant promotion of diversity, equity, inclusion, and belonging and the importance of student voices.
Job Requirements:Required Qualifications
- Bachelor's degree, preferably in higher education administration, business, or related field.
- 3-4 years of relevant experience in executive support, project management, or higher education.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Exceptional organizational, communication, and time-management skills.
- Ability to work in a fast-paced environment, manage multiple tasks and prioritize effectively
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated commitment to diversity, equity, and inclusion in a student-centered environment.
Preferred Qualifications
- Experience working in a college or university setting.
- Familiarity with student affairs operations and student success initiatives.
- Project management certification (e.g., PMP, CAPM) or training.
- Ability to anticipate needs and streamline processes and systems
- Energized team player with a can-do attitude
Working Conditions and Physical Requirements
- Primarily office-based with occasional evening or weekend work to support Dean, events and student needs.
- Some walking, standing, or light lifting (up to 25 lbs) may be required.
- Ability to work in a fast-paced, dynamic environment with frequent interaction with students and staff.
