Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.


Position Summary:

The ideal candidate will join a vibrant and inclusive educational community,and have a desire and ability to work with a diverse population. This is apart-time, non-unit position with no benefits. The Seasonal Admissions Representative will support the MassBayCommunity College Admissions Office during peak seasons leading up to the startof each term. The work will includeassisting with email communications, processing documents and admissionsrelated materials. Daily responsibilities include responding to e-mails,processing, imaging, and filing Admissions documents, entering data intoMassBay’s PeopleSoft Student Information System and DocuWare imaging system,and working collaboratively with Admissions staff members and other collegedepartments to resolve student needs.

Key Responsibilities and Duties:

  • Check Admissions e-mail and respond timely to e-mail messages;

  • Use PeopleSoft web-based Student Information System to verify, update, and correct applicant records as needed;

  • Outreach applicants via e-mail regarding their application status, and appropriately document communications with applicants using PeopleSoft comments;

  • Process electronic and paper-based applications and inquiries;

  • Process transcripts, diplomas, self-certification of education credentials forms, tuition eligibility forms, and all documents related to an applicant’s application for admission;

  • Assist with scanning or filing of student records;

  • Maintain the confidentiality of student records;

  • Other related duties as assigned.

Required Qualifications:

  • Associate’s Degree from accredited institution or 4 years of Customer Service or Higher Education experience or equivalent combination;

  • Experience providing customer service and working with the general public. Experience in higher education preferred;

  • Working knowledge of Microsoft Windows, Microsoft Office, and information technology in general. Experience using PeopleSoft or other student information systems preferred;

  • Excellent verbal and written communication skills;

  • Ability to organize and prioritize multiple tasks with a high level of detail while meeting deadlines;

  • Ability to work collaboratively and exercise good judgment;

  • Respect and understanding of students, faculty, and staff with diverse backgrounds, abilities, and needs;

  • Flexibility to work occasional evening and weekend hours.

Preferred Qualifications:

  • Sensitivity and commitment to the goals of Affirmative Action and workforce diversity;

  • Experience working in a diverse environment;

  • Demonstrated commitment to working with underserved students;

  • Fluency in Portuguese, Haitian Creole or Spanish.

Additional Information:

Salary Range: $30.00 - 40.00 Hourly Wage

Position Type: PT - Seasonal/ Temporary
