Position Description

Job Purpose


The Assistant HR Manager – Benefits & Retirement leads the planning, execution, and continuous improvement of benefit and retirement programs across multiple subsidiary companies. This role is responsible for ensuring the smooth administration of health, welfare, retirement, and leave programs while serving as a subject matter expert for employee benefits, regulatory compliance, and vendor relations.


As part of the HR structure, this role is designed for an experienced and analytical benefits professional who has intentionally developed expertise in benefits strategy, compliance, and service delivery. The successful candidate will bring a balance of tactical execution and strategic oversight, with a passion for improving the employee experience and optimizing benefit value to the organization.


Essential Duties and Responsibilities


Essential duties and other responsibilities include, but are not limited to, the following:


Benefit Administration

  1. Oversee day-to-day administration of group health, dental, vision, life, disability, and other ancillary benefit plans.
  2. Lead annual benefits renewal and open enrollment processes in partnership with brokers, carriers, and internal teams.
  3. Coordinate plan design evaluation, cost review, and vendor review with HR leadership.
  4. Ensure benefits offerings are competitive, cost-effective, and aligned with workforce needs across companies and employee classifications.
  5. Serve as escalation point for complex benefits questions, claim issues, or eligibility concerns.
  6. Monitor and audit benefit files, deductions, and vendor billing to ensure accuracy and compliance.
  7. Promote preventative health through wellness program (including employee communications and education sessions).

Retirement Administration

  1. Administer retirement programs (e.g., 401(k), pension, or other defined contribution/benefit plans).
  2. Partner with vendors on plan audits, filings (Form 5500), and fiduciary responsibilities.
  3. Promote financial wellness through employee communications and education sessions.
  4. Monitor participation trends and identify opportunities to enhance employee engagement and retirement readiness.

Compliance & Leave Administration

  1. Ensure compliance with applicable laws and regulations (ACA, ERISA, HIPAA, COBRA, FMLA, PDL, CFRA, etc.).
  2. Oversee leave administration in collaboration with the HR Administrator (e.g., medical leaves, disability, and unpaid time off); ensure integration with benefits and payroll processes.
  3. Maintain accurate records and documentation to support audits, plan filings, and regulatory reporting.
  4. Ensure tracking of eligibility and hours in alignment with ACA requirements.
  5. Collaborate with HRIS & HR Operations to improve benefits workflows, integrations, and employee self-service tools.


Position Requirements

Qualifications

Required Education and Experience

  1. Bachelor’s degree in Human Resources, Business Administration, or a related field.
  2. 5+ years of progressive HR experience, with a strong focus on benefits administration and retirement plan.
  3. Experience managing benefit programs in a multi-entity, multi-location environment.
  4. In-depth understanding of benefits regulations (ACA, COBRA, ERISA, HIPAA, FMLA, etc.) and best practices.
  5. Strong analytical skills and experience working with vendors, brokers, and third-party administrators (TPAs).
  6. Excellent communication, documentation, and organizational skills.
  7. Proficient in Microsoft 365 (Excel, Teams, Outlook) and HRIS systems; ability to manage data with accuracy and confidentiality.
  8. Travel as needed.

Preferred Qualifications

  1. Certified SHRM-CP/SCP, or other relevant certification.
  2. Prior involvement in benefits strategy, plan design, or cost analysis is a plus.
