Essential Functions

These are the job duties required of the position.

Essential Functions
  • Performs advanced, professional accounting work involving responsibility for financial reporting, analysis, and accounting control over a wide range of funds and accounts within the South Alabama Medical Science Foundation (SAMSF) and the College of Medicine (COM).
  • Responsible for maintaining accurate financial records, preparing complex financial reports and schedules, ensuring compliance with applicable policies and regulations, and supporting external audits.
  • Operates with significant independence and requires strong technical accounting skills, excellent organizational abilities, and a proactive, analytical mindset.
  • Prepares monthly and annual financial statements for SAMSF in accordance with applicable accounting standards.
  • Maintains SAMSF chart of accounts in Microsoft Dynamics.
  • Prepares and maintains the following recurring schedules: SAMSF Projects/Clinical Trial; Monthly Investment and Overhead; Deferred Revenue and Accrual; Payable To/Receivable from the University; QED Royalty Quarterly Distribution and Associated Year-End Journal Entry.
  • Prepares and Submits the SAMSF Contribution to University (monthly).
  • Prepares a variety of monthly and annual journal vouchers for SAMSF and COM.
  • Processes miscellaneous journal entries.
  • Coordinates departmental monthly and yearly fund transfers, including year-end residual transfers.
  • Keys grant transfers through COM and Submits to USA Accounting.
  • Processes grant expense transfers and assists with related reconciliations.
  • Prepares and distributes detailed and summary financial reports including: Operating Expense Analysis; Expenditures by Organization; Summary by Fund Type; Gift and Matching Gift; Racing Commission and COM Development; Fund Balance for Clinical and Academic Departments; and Department Chair Reports.
  • Supports procurement and purchasing processes for COM department using Concur, PCard transactions, and Banner Requisitions.
  • Assists with financial data entry, system maintenance, and transaction processing.
  • Serves as a key contributor in preparing documentation and schedules for annual external audit of SAMSF.
  • Audits Visa Gift Card distributions for SAMSF annually to ensure compliance with internal controls and reporting guidelines.
  • Maintains up-to-date and accurate documentation for audit trails.
  • Prepares and distributes quarterly “COM Pros aon Policies” email to reinforce compliance and policy awareness.
  • Provides guidance, oversight, and technical review of journal entries and schedules prepaed by junior staff.
  • Acts as subject matter expert on fund accounting and institutional financial systems.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional hours as required.
  • Related duties as required.
