We are currently seeking a full-time Office Administrative Assistant for our headquarters in Syracuse, New York. We are seeking a reliable, enthusiastic, organized person who maintains a professional demeanor.


Duties will include, but are not limited to:

  • Receives and directs incoming calls and directs calls of a specific and general nature to the appropriate party.
  • Controls Syracuse office building visitor/vendor access and monitors for emergencies.
  • Receives and directs visitors, clients, and applicants to the proper individual.
  • Maintains daily logs for visitors and monitors sign-in/sign-out status of employees.
  • Opens and closes lobby, front desk, and phones for business.
  • Performs general clerical duties such as word processing and digital file management, as needed.
  • Maintains the office supply inventory, including placing online orders for the Company.
  • Handles different situations, problems, and deviations in the office according to general instructions and policies from your Supervisor or the Corporate office.
  • Coordinate Certificate of Insurance (COI) issuance with the Director of Risk Management using the Company’s software subscription.
  • Coordinate hotel booking for field staff in accordance with company procedures.
  • Spearheads client mailing list and shipping of Holiday gift mailings by working with Department heads.
  • Group Technical Assistant and Office Assistant responsibilities, which will include:
    • Assist with Contract Management software, including contract processing and e-signatures.
    • Assist with mail distribution, as needed.
    • Assist with mailing, packaging, and shipping for the Syracuse Office.
  • Provides assistance, as requested, to the Corporate Administrator for such tasks as:
    • Landlord maintenance needs and cleaning service.
    • Syracuse office furniture purchases.
    • Coordinating office luncheons, including food ordering.
    • Miscellaneous errands for the Syracuse office.
    • Coordinating special company events, including charity fundraisers, when requested.
  • Helps to coordinate approved Events Committee activities for the Syracuse Office with Human Resources.
  • Additional administrative and office assistance as requested by the Supervisor or the Corporate office.


Requirements:

Candidates must be proficient with Microsoft Office Suite (Work, Excel, etc.) and have at least 15 years of receptionist/office experience. This position requires a reliable, enthusiastic, organized person who can manage multiple priorities, communicate well, and work with a diverse group of technical staff.


Estimated Pay Range: $27-30/hour.

Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
