Job Title: Junior Project Coordinator

Department: Operations – PMO

Reports To: RavenTek Chief Operating Officer

Location: Remote

Schedule: Monday – Friday

Hours: Part Time, 29-hours/week maximum

FLSA Status: Hourly, non- Exempt

Position Summary

The Junior Project Coordinator supports the Project Management Office (PMO) by helping to track and manage ongoing projects. This role involves assisting with project schedules, documentation, meeting notes, status reports, and action items. The position will assist in monitoring milestones, identifying risks or delays, and will develop skills to ensure projects stay on track.

The Junior Project Coordinator will work closely with project managers, engineers, and other team members to support clear communication and ensure everyone is aligned on project goals. Additional tasks may include preparing presentations, updating dashboards, organizing meetings, and helping with project planning.

Requirements:

Essential Duties and Responsibilities

  • Assist in the creation, maintenance, and updating of project plans, timelines, meeting minutes, and status reports to support project coordination and ensure clear communication among team members.
  • Learn and understand project lifecycle phases: initiation, planning, execution, monitoring, and closing.
  • Support the VP of Engineering in tracking certifications and timely renewals.
  • Assist the PMO in developing a system that ensures key certifications are kept current to meet OEM requirements for discount levels.
  • Use tools such as Excel, Power BI, MS Project to assist in monitoring deliverables, milestones, and requirements through RavenVison and Power BI.
  • Develop expertise in tracking scope, time, cost, and ensuring quality of projects deliverables.
  • Support in preparation, development and maintenance of weekly/monthly dashboards and performance reports for executive awareness and risk mitigation.
  • Gain understanding of key performance indicators (KPIs) and how they influence leadership decisions; assist in effectively communicating insights across teams and management levels.
  • Support the analysis and improvement of existing project workflows and templates to enhance efficiency and consistency.
  • Contribute to the development of new project workflows and templates that support evolving business needs.
  • Assist in maintaining and updating risk logs and issue trackers to support internal controls and audit readiness.
  • Assist in assessing and mitigating project risks.
  • Assist with IT inventory and minor project tasks.
  • Assist with SharePoint project site organization and cleanup.
  • Collaborate with team members on documentation for clients and internal initiatives and support any writing requirements for deliverables.
  • Support documentation preparation for CMMI and ISO compliance.
  • Assist in defining and tracking initiatives.
  • Support with updating, modernizing, creating, and monitoring customer satisfaction surveys and feedback processes.
  • Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period.?

Education & Work Experience

  • Junior Project Coordinator experience desired.
  • Minimum of a high school diploma and currently pursuing a bachelor's degree in a business-related field.

Work Environment

Employee will be working indoors in an office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs on a regular basis.


Physical Demands

To successfully perform the essential functions of the job, the employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear; see to read printed materials and computer screens; mobility to work in a typical office setting. Ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and may be required to provide recommendations, summaries and/or reports in written format. Must be able to effectively communicate with others verbally and in writing. Employee must be able to lift and/or move moderate amounts of weight, typically up to 20 pounds. Regular and predictable attendance is essential.
