Supervised by the Facilities Manager, the Facilities Assistant is responsible for assisting with all administrative functions of the Facilities Department.

Essential Duties & Responsibilities:

  • Update and maintain all facility related data in Deltek Vantagepoint.
  • Perform quarterly audits on office utilization, utilities and parking.
  • Answer phone calls from the Facilities main line and route calls as necessary.
  • Help with booking travel, creating expense reports and clearing company paid charges.
  • Assist with office moves by researching vendors, procuring supplies, and scheduling vendors.
  • Assist with researching, coordinating and scheduling contractors for various work orders.
  • Onboard vendors in Deltek Vantagepoint by obtaining W9, Ach form and other important documentation.
  • Process vendor invoices with the AP department and pay invoices on corporate credit card as needed.
  • Order and review all team member business cards, culture posters, office stationery and other printed literature.
  • Request and oversee furniture warranties from start to finish.
  • Dispute incorrectly billed invoices and resubmit for payment.
  • Perform annual risk assessment for all company facilities.
  • Assist with the FF&E inventory company-wide, and integrate these items when a new company is acquired.
  • Create, manage and update active Facilities Smartsheet’s.
  • Assign and respond to tickets from Facilities ticket system.
  • Ensure Facilities storage room is organized and clean and periodically check that the stocked inventory is accurate.
  • Other duties as assigned.
  • Attendance at work during normal business hours.

  • Computer Skills: Intermediate knowledge of Windows, Word, PowerPoint, Outlook, Adobe Acrobat and Excel.

Preferred Education and Experience:

Education: High School Diploma or equivalent is required. Associate degree or bachelor’s degree in business administration, or equivalent experience, is preferred.

Experience: A minimum of two years’ experience in a related position supporting management and/or team of professionals is required. Experience in the service or construction industry is preferred.

The salary range for this full-time role is $24.04-$30.45 per hour. Ranges are determined based on the position, geography, client and industry experience and level, and represent a good faith effort to provide a fair and equitable salary. This range reflects base salary only, and not the total compensation package. Cumming Group reserves the right to pay more or less than the posted range, depending on a candidate’s experience, skills, and qualifications, including client requirements.
