ABOUT THE ROLE
Guided by department objectives and priorities, coordinates key Research Services technical service functions. Oversees library automation software (EOS). Provides point person service and coordination to all offices on physical and electronic collection management. Works closely with Research Operations Manager to maintain and implement processes that enhance content delivery to end users. Oversees reporting processes. Provides research services as part of firmwide research team. Collaborates closely with Research Operations Manager, Research Services Coordinators, and colleagues on the Research Services team. Ensures client service and satisfaction are attained in all areas of position.
Collection Management
- Oversee internal and external EOS administration; catalog new print and electronic materials; ensure resources are up-to-date; troubleshoot issues; recommend and take accountability for improvements.
- Coordinate EOS implementation and future enhancements, upgrades, and ongoing rollouts.
- Act as primary liaison with EOS vendor, collaborating closely to develop an effective service relationship, to receive up-to-date training, and to resolve technical issues.
- Ensure consistency and efficiency in managing physical and electronic collections; develop tools and resources, including shelf lists to assist with collection review. Provide oversight and guidance regarding library physical collections in all offices moves.
- Manage process for acquisition and cancellation for both physical and electronic resources. Alert relevant parties of subscription renewals.
- Manage process for check-in and routing of print subscriptions and maintain publication distribution management system, “My Subscriptions.”
- Manage process to track and manage overdue or missing items: maintain reports and by working closely with colleagues, coordinate retrieval.
Content Delivery
- Oversee electronic subscriptions, scan and route tables of contents via Outlook, and identify new opportunities for streamlined, electronic distribution of existing print subscriptions.
- Set up and curate newsletters in Vable; oversee Vable administration and monitor the platform performance; train new users on the Vable platform.
- Help to manage distribution needs including installation of eBooks, distributing office copies, shipping materials to international offices, and working with local office library staff to maintain routing and e-mail distribution lists for serials and subscriptions.
- Coordinate content maintenance on Research Services portal page; work with Research Operations Manager and KM Manager to improve and simplify delivery of content via SharePoint.
- Implement and manage solutions to ensure seamless mobile access to research resources.
- Participate on projects that increase the value of Research Services to clients, attorneys, timekeepers and the Firm.
- Assist in ensuring compliance with site license terms.
- Coordinate interlibrary borrowing and lending activity at the local office level. Monitor overdue status and coordinate the retrieval/returns of materials in a timely manner.
Reporting & Technical Support
- Collaborate with Research Services staff to establish technical services procedures and to troubleshoot access issues. Train new EOS users.
- Maintain data collection tool Research Monitor; add new resources; schedule reports; provide reporting on an ad hoc basis.
- Working with Research Operations Manager, implement and maintain regular reporting on Operations activities, including cataloging activities, serials routing, and resource usage.
- Work with Research Operations Manager to implement plans for limiting out of contract activities in major databases such as Lexis and Westlaw.
- Provide point person support for Research Serves training plan, including scheduling and coordinating with outside vendors.
Research Service
- Provide legal and business research services, including filling requests for information submitted from routed materials, obtaining authorities from print and electronic sources, acquiring materials through interlibrary loan, and conducting database searches.
Outsource Staff Support
- Provide guidance to Research Services temporary staff, including interns and filing service personnel. Assign and coordinate workflow, and act as resource for their needs.
Client Service, Confidentiality, and Safety
- Consistently promote and model the Firm's Client Service Principles in leadership, teamwork, work product, and personal interaction.
- Ensure compliance with the Firm's Information Handling Policy, including safeguarding confidential and personal information, and reporting any suspected breach appropriately and immediately.
- Adhere to the Firm's General Safety Practices and any unique safety practices for department and building.
ABOUT YOU
Education and Experience
- College degree and relevant experience in a library. Master’s degree in Library Science or related advanced degree preferred.
- Prior experience using an integrated library system.

- Proficiency with Microsoft Office programs including Word, Excel, and Power Point.

- Strong technical aptitude and understanding, including ability to quickly learn new applications and reference services.
- Ability to effectively organize time, prioritize workload, and work independently with minimal direct supervision.
- Ability to apply effective independent judgment, to perceive and analyze problems and develop responsive solutions.

Where required by law, salary ranges are stated below. Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications. New York, San Francisco, Palo Alto salary range: $63k to $88k
Los Angeles, San Diego, Boston, Washington, D.C. salary range: $60k to $84k
Denver salary range: $56k to $78k
