The Program Administrator will work under the supervision of the Assistant Dean for Finance and Administration to provide administrative and programmatic support for the Associate Dean for Faculty Research and Development, the Associate Dean for Academic Affairs, and the Vice Dean and other faculty members.

Duties and Responsibilities:
Administrative Responsibilities
  • Provide administrative support to Associate Deans for their administrative activities in addition to their academic activities.
  • Organize and maintain an up-to-date Annual Calendar of standing Law School events and activities in collaboration with the school events and communications team.
  • Develop and manage a process for onboarding new faculty to the services provided by the Faculty Support Office. This should include preparing materials for new faculty orientation.
  • Manage administrative details involved with symposia, conferences, faculty workshops and appointments, and other events in collaboration with other school and university events, facilities and IT stakeholders.
  • Manage the process for registering requested events with the PA Continuing Legal Education Board (CLE process).
  • Manage the training and career counseling and provide performance coaching to the faculty support team.
  • Serve as a back-up when the other faculty support assistant is out of the office or needs assistance.
Academic Responsibilities
  • Produce and manage all necessary correspondence and materials (ie class materials, exams, presentation, expense reports, etc) on behalf of faculty.
  • Perform other administrative tasks pertaining to classes or other faculty-related work (ie class rosters, exam prep and review, etc).
  • Manage and maintain files electronically and in hard copies as necessary.
  • Use web-based legal research tools (HeinOnLine and/or Lexis Westlaw) on behalf of faculty and in the course of completing assigned projects.
  • Support the work of faculty committees: schedule rooms for meetings, create spreadsheets and other documents, other tasks as requested.
  • Manage confidential and sensitive information in relation to Honor Board violation investigations. Help maintain the tracking log for pending and resolved cases.
Special Project Initiative Management
  • Assist the leadership of the school in the administration and management of special initiatives, such as ABA reporting and accreditation, SharePoint site administration, special schoolwide events, etc.
  • Perform other duties and assist with projects as assigned.
Minimum Qualifications:
  • Bachelor’s degree required; or an equivalent combination of education and experience can be considered.
  • Minimum of 3 years’ experience managing projects or programs and administrative coordination.
  • Outstanding administrative, organizational, communication (oral and written), and interpersonal skills.
  • Highly skilled in MS Word, Excel, PowerPoint, Outlook, Adobe Acrobat, Internet, Lexis/Westlaw; willing and able to learn new programs and applications as needed.
  • Ability to work with interruptions and prioritize work with competing deadlines.
  • Ability to manage multiple complex projects effectively.
  • Ability to work independently as well as in collaboration with colleagues and students.
  • Professional demeanor; ability to conduct business in a way that upholds the Augustinian values of the University.
  • Knowledge of office procedures and educational institution policies and procedures.
  • Ability to use standard office equipment.
Preferred Qualifications:
  • Graduate degree preferred
  • Relevant experience in an academic setting preferred

This position falls within salaried grade 13 and the range for this position is $51,000-63,800. The final salary will be determined with consideration of several factors including the selected candidate’s qualifications, department budget availability, market data, and internal equity.
