Administrator, Ford Institute for Human Security



The Administrator will provide primary administrative support to the director of the Ford Institute for Human Security. The incumbent will be responsible for supporting the implementation of strategic operations and managing day to day operations while serving as the liaison to student employees, student participants in Ford programs, and various stakeholders both internal and external. The incumbent will be responsible for providing information and appropriate answers to inquiries in person, over the phone, and email. The position reports to the director of the Ford Institute and will work independently in a wide variety of complex tasks and providing technical or project support as it relates to administrative tasks. The administrator will work with the director to coordinate special events and other mission relevant programs and will execute all administrative functions in support of events and programing. The incumbent will prepare financial reports, presentation materials, annual reports and other routine correspondence utilizing established guidelines and proper formatting; will maintain the Ford Institute’s website and oversee social media pages and contact databases. The Administrator will support preparation of the Institute's annual budget, manage and process expenses in Concur and manage vendor contracts.

The incumbent must have sufficient educational training and professional experience to take initiative, work independently, and contribute in a meaningful way to the policy impactful research mission of the Ford Institute. The incumbent is expected to be in office at least 20 hours of the 25 hour work week as discussed and agreed upon with the Director.

This position is supported 100% by soft funding (04 account).

Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.


Essential Functions
  • Incumbent will provide administrative support to the director of the Ford Institute for Human Security, requiring excellent communication (written, oral and interpersonal), organization, and customer service skills.
  • Will utilize various platforms and methods to communicate, requiring proficiency with standard office technology (phone, email, basic website editing, social media).
  • Will take direction from the Director to execute Institute programming and events, ensuring attention to detail and may work on multiple projects at once.
  • Will support financial and budgetary functions.

Physical Effort

Somewhat sedentary. May be asked to run errands to other buildings on campus. Some carrying of boxes generally less than 30 pounds.
