Your Responsibilities: 

Administrative Support for Vice Presidents (VPs) 

  • Assist with travel arrangements, such as booking flights, cars, hotels, and restaurant reservations. 
  • Provide real-time scheduling support for large internal team meetings, workshops, off-sites, recurring meetings, and ad-hoc support for external meetings, preventing inter-company conflicts (no daily VP calendar management). 
  • Provide systems support and troubleshooting for systems such as Concur, DocuSign, NetSuite, Conga; provide heavy contract management assistance and tracking. 
  • Organize catering via X4’s catering platforms. 
  • Assist with other administrative tasks or projects as needed. 

 

CEO Office Support (20% - 8 hours per week) 

  • Facilitate monthly expenses for the CEO Office in Concur, working with the Senior Executive Assistant to the CEO to create and submit monthly expenses; Review and process expense reports for the CEO and CEO’s direct reports. 
  • Assist with ad-hoc projects & logistics including off-site and on-site meetings, leadership dinners, company events with CEO involvement, catering, and travel. 

 

Facilities & Office Manager Support: 

  • Occasional handle office tasks, such as inventory intake, office supply reorders, and stocking office and kitchen supplies. 
  • Greet and assist visitors/vendors and manage reception for pivotal on-site meetings, e.g., investor meetings, board meetings, etc. 
  • Serve as backup to Facilities & Office Manager during time off or other out of office activities. 

 

Requirements: Proven Experience, Skills, and Education: 

 

  • Associate degree in a related field and/or relevant experience. 
  • 3+ years of prior administrative experience
  • Customer service experience a plus. 
  • Excellent computer skills (Office 365 – Outlook, Excel, Power Point, etc.). 
  • High level of discretion and confidentiality. 
  • Attention to detail and excellent organizational skills. 
  • Ability to manage multiple tasks and problem-solve in a fast-paced environment. 
  • Flexibility for on-site coverage, as business needs may change. 
  • Desire to be proactive and create a positive experience for others. 

 

This position is based in Boston, MA, and offers a flexible hybrid work model with a minimum of 2 days/week in the office.
