Labor & Employment Practice Assistant

We are seeking a detail-oriented and proactive Legal Practice Assistant for our Pittsburgh location to assist our Labor & Employment Section. The ideal candidate will possess strong organizational skills, legal document expertise, and the ability to manage multiple priorities under tight deadlines. Essential Duties and Responsibilities:

  • Draft, proofread, format and edit various legal documents such as correspondence, memoranda, agreements, pleadings, discovery, and other legal documents ensuring accuracy and adherence to time-sensitive deadlines.
  • Prepare and file court documents in compliance with court rules and procedures across federal, state, local jurisdictions, and administrative agencies as needed..
  • Create, index, and maintain organized pleading and exhibit binders.
  • Track litigation deadlines and ensure timely completion of filings and other critical tasks.
  • Manage new client intake pursuant to our client matter onboarding process.
  • Maintain electronic and paper case files in accordance with document management protocols and retention policies.
  • Heavy calendar coordination and management. Assist with billing process, including entering attorneys’ billable time and reviewing proformas through 3E.
  • Coordinate travel arrangements through corporate travel companion, Navan.
  • Prepare and submit expense and reimbursement reports.
  • Utilize legal software applications to improve workflow efficiency and produce high-quality work product.
  • Collaborate with fellow practice assistants to provide high level administrative support to attorneys in the Pittsburgh office and across the Firm.
  • Keep abreast of practice-specific laws, rules, processes and procedures.
  • Communicate professionally and effectively with witnesses, clients, colleagues and opposing counsel, as directed.
  • Uphold Firm policies, procedures, and confidentiality standards.
  • Other duties as assigned.

Required Education/Experience:

  • Minimum 3 years of experience with litigation or labor and employment support.
  • High school diploma required. College degree a plus.
  • Prior use of a document management system (NetDocs) a plus.
  • Proficiency with MS Word, Outlook, Excel.
  • Excellent written/verbal communication skills and the ability to professionally interact with professionals, clients and staff.
  • High attention to detail and the ability to anticipate needs and problem solve.
  • Positive, team-oriented attitude and a “can-do” approach.
  • Capacity to work efficiently under pressure and balance multiple assignments in a fast-paced environment.
