Job Purpose
The Global CIS Project Specialist will be responsible for coordinating critical aspects related to Supplier Management and CIS Budgeting processes. Supplier Management involves overseeing vendor deliverables, negotiating contracts, fostering compliance, and performing other activities to improve supplier performance, ensuring business needs and priorities are met. Budgeting responsibility requires execution of all budgetary & accounts-related processes of the Global CIS annual financial plan in liaison with the relevant stakeholders to achieve the highest levels of budgeting and forecasting accuracy and consistency.

The CIS Program Office is a critical strategic department that aids in all aspects of CIS. The role also entails guiding the development and implementation of learning, driving process and quality improvements, conducting market research, project management, and support duties.

How will you contribute to the success of DHL?

Budgeting & Forecasting
• Leading the annual CIS budget process, coordinating, collecting input, and communicating with all CIS development teams.
• Liaising with senior stakeholders across the business, including functional subject matter experts and CIS sponsors, to ascertain development requirements.
• Driving appropriate budget allocation across the CIS portfolio, liaising closely with finance teams to ensure timeliness and accuracy.
• Managing the monthly forecasting cycle and reporting monthly regional spend and variances.
• Managing Quotes, Purchase Order (PO) issuance, tracking, and liaison with suppliers.
• Reconciling invoices and monitoring expenditure to ensure accurate and timely billing across all cost centers and compliance with internal controls.
•Acting as the key point of contact for Finance and Procurement for CIS-related budget, forecasting, and financial operations matters.

Supplier Management
• Responsible for managing Supplier relationships for all Global CIS vendors.
• Managing supplier QBRs in alignment with Procurement to ensure projects are meeting objectives, identify performance gaps, and boost collaboration.
• Overseeing contract and supplier documentation management, including knowledge base upkeep, contract lifecycles, and vendor performance records.
• Working closely with Procurement and CIS Functional Leads to review license structures, rate cards, and annual volume planning to ensure cost-effectiveness and alignment with CIS needs.
• Ensuring suppliers are aligned with CIS standards, including adherence to the CIS Style Guide, content quality expectations, and brand compliance.
• Coordinating with the CIS Communications Lead on supplier briefings and supplier engagement events, such as Supplier Day or onboarding sessions.
• Maintaining the CIS supplier list and contact database, ensuring up-to-date records for all partners.
• Promote supplier diversity by exploring new partnerships, supporting inclusive sourcing, and working with Procurement to identify and test new suppliers that meet CIS needs.

Do you have what it takes?

• 2-5 years of experience in project management or similar.
• Excellent decision-making, communication, and organizational skills.
• Experience working with external suppliers would be a significant plus.
• Proficient with Microsoft Office applications (Word, Excel, PowerPoint, Teams) and adaptable to work with other digital platforms and apps.
• Financial acumen.
• Knowledge management & document maintenance skills.
• Attention to detail, precision.
• Ability to negotiate and challenge others.
• Ability to focus on clear priorities.
•Higher level education.
• Typically requires a BS/BA in a related discipline.
•Excellent English knowledge, both verbal and written.
