NOTE: This role is hybrid and requires working in the office (Alexandria, VA) 2 days every other week, or remote. Travel is required (up to 20% of the year) for meetings and events, including travel to WEF’s annual conference, WEFTEC.
How This Position Contributes to the Team:
The Coordinator, Business Development plays a key role in providing excellent customer service to
WEF’s exhibitors, advertisers and sponsors, ensuring customers are satisfied, supported, and receiving the best value
from WEF’s products and services. This position is responsible for supporting the Customer Success team, nurturing
strong partnerships, and actively contributing to the success of the customer’s journey. The ideal candidate is a
proactive communicator, highly organized, and dedicated to ensuring customer satisfaction.
NOTE: This position is only open to hybrid work – approximately 80% remote work, 20% in-office work
(Alexandria, VA). 10% travel required.
Key Responsibilities:
- Acts as the first touchpoint for both existing and prospective clients by responding to email inquiries and
phone calls.
- Maintains list of pending booth applications, booth move requests and cancellation requests for WEF events.
- Manages collections: advertising, sponsorships, booth payments, etc. Responsibilities include sending mass
emails and conducting follow-up phone calls.
- Maintains accurate customer records in CRM systems, including Map Your Show and Fonteva (Salesforce).
- Manages shipments of booth materials to/from WEFTEC and other events.
- Coordinates communication with customers to collect media as well as other advertising and sponsorship
deliverables.
- Provides updates to the department’s portion of the website, including FAQs, Step-by-Step guide, etc.
- Assists in event management system testing to ensure optimal functionality of platforms and services ahead
of public release.
- Produces WEF digital advertising products, eNewsletters, etc.
- Produces and/or sends out ROI reports for advertising and sponsorships products & events.
- Reviews customer deliverables, advertising, emails, marketing pieces, website, etc. to ensure accuracy and
adherence to standards.
- Organizes the appointment schedule for advance sales period of WEFTEC and other events.
- Assists in preparation for the Onsite Sales Office at WEFTEC.
- Collects and analyzes customer feedback, identify patterns, and relay valuable insights to help improve
products, services, and the customer experience.
- Travels to WEFTEC and other events to provide support during the event.
- Performs other related duties as assigned within the scope of the role
Qualifications:
- High School Degree Required
- Bachelor’s degree in Business Administration, Business Management or relevant degree is preferred
- 0-2 year of experience in a business development or working in a sales department
- Intermediate verbal and written communication skills with the ability to interact professionally and effectively via phone, email and other digital platforms.
- Demonstrated ability to multi-task and meet deadlines in a fast-paced environment.
- Excellent time management skills, ability to multi-task with a keen eye for detail and efficiency.
- Outstanding interpersonal skills, with the ability to collaborate across teams and foster positive relationships.
- A customer-friendly mentality, with a commitment to delivering exceptional service at every touchpoint.
- Ability to work as part of a team, while achieving individual and organizational goals.
- Microsoft Office Suite proficient. (Word, Excel, Teams, etc.)
Preferred Qualifications:
- Experience with Fonteva/Salesforce.
- Experience with event management software.
- Experience working in a trade show and/or sales support environment.
This person will work primarily in an office environment using standard office equipment.
