Position Title:Administrative Manager - Phoenix Center

Location: Owensboro, KY

Description:

The Phoenix Center Administrative Manager will oversee the administrative operations of RiverValley Behavioral Health’s residential crisis stabilization unit: The Phoenix Center. This role ensures that the Phoenix Center functions efficiently, maintaining high standards of care and compliance with all regulatory and organizational policies. The Administrative Manager will work closely with clinical and support staff to provide critical oversight, maintain administrative workflows, and support the mission of delivering effective residential crisis treatment.

Essential Functions:

  • Administrative Leadership: Provide day-to-day leadership to the administrative functions of the Phoenix Center, ensuring smooth and efficient operation.
  • Team Supervision: Supervise administrative support staff, providing training, assigning tasks, managing schedules, and overseeing performance to ensure quality service delivery.
  • Policy Implementation: Ensure that all administrative procedures comply with local, state, and federal regulations, as well as with RiverValley Behavioral Health’s policies and procedures.
  • Crisis Response Coordination: Collaborate with crisis team clinicians to coordinate administrative processes for crisis interventions, such as scheduling, documentation, and client follow-up.
  • Data Management & Reporting: Responsible for all reporting and data collection including but not limited to client satisfaction surveys, weekly billing error reports, monthly data reporting, incident reports and CARF preparation. Prepare regular reports on program operations, service delivery, and outcomes.
  • Budgeting & Resource Allocation: Responsible for Phoenix Center petty cash, purchasing, food/grocery orders, meal planning, supply management, and coordination of monthly services (i.e., pest control, etc.).
  • Continuous Improvement: Identify opportunities for process improvement within administrative workflows and work with the leadership team to implement changes that enhance operational efficiency.
  • Assists in the planning and facilitation of Phoenix Center staff meetings and professional development opportunities.
  • Other duties as assigned.



Qualifications:

Education and Experience:

  • Education: Bachelor’s degree in healthcare administration, business administration, social work, or a related field preferred. Equivalent work experience may be considered.
  • Experience: Minimum of 1-3 years in an administrative or management role, preferably within a behavioral health, crisis services, or healthcare setting.
  • Skills:
    • Strong leadership and team management skills.
    • Excellent organizational and multitasking abilities.
    • Proficiency in using electronic health record (EHR) systems.
    • Knowledge of mental health crisis services and best practices.
    • Strong interpersonal and communication skills.
    • Ability to work effectively in a fast-paced, high-stress environment.
  • Preferred Qualifications:
    • Prior experience in a behavioral health or mental health crisis intervention setting.
    • Experience in budgeting and resource management within a healthcare environment.
    • Familiarity with HIPAA regulations and confidentiality standards.
