Academic Support Lead
The Department of Cardiothoracic Surgery at the University of Pittsburgh is a leader in advancing surgical care, research, and education in cardiac, thoracic, and congenital heart disease. Faculty are internationally recognized for pioneering contributions in cardiothoracic transplantation, mechanical circulatory support, aortic and valvular surgery, thoracic oncology, and minimally invasive techniques. The department sustains a strong research portfolio spanning basic, translational, and clinical investigations, with emphasis on regenerative medicine, disease pathophysiology, device innovation, and clinical outcomes.
The Academic Support Lead will serve as the primary administrator for academic and faculty affairs within the Department of Cardiothoracic Surgery. This role is responsible for managing faculty appointment, promotion, and tenure processes; coordinating annual faculty performance evaluations; and administering postdoctoral scholar/associate appointments, reappointments, and related activities. The Academic Support Lead ensures compliance with School of Medicine and University policies while supporting the academic mission of the department.
Oversees day-to-day management of all academic support operations. Develops procedures for optimal operational efficiency and accuracy.
The position will oversee the full lifecycle of faculty appointments, promotions, and tenure dossiers, ensuring timely preparation, accuracy, and compliance with school and institutional guidelines. Will serve as a key liaison between faculty, department leadership, and the School of Medicine’s Office of Faculty Affairs. Will coordinate and track faculty recruitment and appointment processes in collaboration with the department administrator and search committees. Will maintain and update faculty records, CVs, and professional activity databases. Will manage the annual faculty performance evaluation process, including collection of documentation and generating reports for department leadership.
The position will administer position postings and appointment, reappointment, and termination processes for postdoctoral fellows in accordance with University and School of Medicine policies. Will serve as primary resource for postdocs regarding policies, benefits, and professional development opportunities. Will track postdoctoral training timelines, ensuring compliance with program limits and reporting requirements.
The position will ensure academic personnel processes adhere to institutional policies, accrediting body standards, and regulatory requirements. Will develop, implement, and maintain systems for tracking faculty and postdoctoral appointments, promotions, and evaluations. Will generate and analyze reports to support strategic planning and departmental leadership needs.
