Position Summary

This is a FULL-TIME, onsite position located in Bethesda, MD.

National Capitol Contracting is seeking a dependable and professional Administrative Assistant to join a team of professionals at the NIH, the nation’s premier scientific and medical research center. In this role, you will provide administrative and operational support to the Program Manager and mid-level management to ensure efficient program execution. This role will focus on reducing administrative workload for leadership by managing recurring reports, communications, and coordination tasks. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work in a fast-paced, deadline-driven government contracting environment.

Essential Duties and Responsibilities:

  • Prepare, compile, and distribute Weekly Status Reports (WSRs) to internal stakeholders and external government customers.
  • Ensure accuracy, completeness, and timely submission of WSRs.
  • Assist with collecting, consolidating, and formatting data for monthly program performance and training reports.
  • Coordinate input from various team members to meet reporting deadlines.
  • Draft, proofread, and send routine program communications, including emails, meeting invites, and follow-up reminders.
  • Maintain distribution lists and contact rosters for internal and external stakeholders.
  • Maintain program documentation and file organization.
  • Procurement assistance as needed. 
  • Support leadership with ad-hoc tasks, including data entry, formatting documents, and preparing status updates.
  • Other duties assigned.

Minimum Requirements:

  • Ability to obtain and maintain a Public Trust Clearance (must be able to pass a criminal background check and credit check).
  • High School diploma or equivalent.
  • 1 - 3 years of Administrative Assistant experience in a corporate environment.
  • Excellent time management skills, as well as excellent verbal and written communication skills.
  • Highly organized with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint).
  • Strong interpersonal skills.

Preferred Qualifications (Not Required):

  • Associates or Bachelors degree.

Special Position Requirements:

Schedule: Monday-Friday, 7AM-4PM

Environment/Physical Demands: Occasional lifting of light packages, sitting for prolonged periods of time. Dress code and conduct must reflect a professional work environment.
