Executive Assistant to the Dean



The Executive Assistant to the Dean will provide advanced, professional administrative support to the Dean of the School of Public and International Affairs. The incumbent will be responsible for providing daily administrative support, performing and operating in a highly professional and confidential manner. Incumbent will be responsible for drafting formal correspondence, memorandums, and other confidential documents as directed. The incumbent will be responsible for organizing SPIA's administrative calendar of meetings, maintaining agendas, minutes, and records. Will manage the Dean's engagements by overseeing the executive's calendar, travel arrangements, and expense reimbursements, while supporting other logistical needs. Additional support related to school specific functions will be provided to the Associate Dean and affiliated committees. The Executive Assistant will serve in a customer service capacity for the Dean's Office, greeting visitors, answering or directing inquiries and deliveries, and ensuring effective Dean's Office operations.

The Executive Assistant will have substantial exposure to senior level personnel within the University of Pittsburgh, as well as external stakeholders, and will be expected to conduct all responsibilities with a high degree of professionalism, discretion, and timeliness. The incumbent must demonstrate the ability to manage the particulars of supporting senior level personnel, exercising flexibility, efficiency, accuracy, and a strong customer service orientation at all times.

  • Proficiency with Microsoft Office Suite including Teams, Outlook, and OneDrive, Zoom, and Qualtrics.


Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.


Essential Functions

Ability to effectively communicate (verbal, written, and interpersonal) with various audiences. Proficient use of general office equipment and computing programs (Microsoft Office Suite, Qualtrics, Concur). Attention to detail to carefully follow and execute processes and procedures related to important faculty governance and faculty affairs. Ability to manage multiple projects and deadlines at once to effectively manage a dynamic workload.


Physical Effort

Position is mainly sedentary in nature. Ability to lift up to 50lbs. May be required to travel around campus for meetings or deliveries.
