Essential Job Functions:  

This position reviews and processes all land records documents presented for recording, including, but not limited to, deeds, mortgages, releases, agreements, plats, liens, military discharges, etc. The incumbent will also process and maintain marriage licenses, business licenses, and notaries.  The incumbent will additionally serve as a cashier for all monetary transactions. 

Essential Duties and Responsibilities:

Process Land Records  Review, record, verify, and index documents.  Return unrecordable documents with notifications when necessary.  Calculate correct taxes and fees.

License  Process and maintain all marriage licenses, business licenses, and notaries.

Liens  Enter, satisfy and release judgments.

Assist Customers Provide information and procedures while not giving legal advice.  Provide appropriate resources to further assist customers.

Cashier Process all money received in the clerk's office, over the counter and electronically.  Run end of day report to balance monies.  Keep proper records for audits.

Minimum Qualifications:

Education:

High school diploma (or GED equivalent).

Experience:

One (1) year of general clerical experience.

Note:

A Bachelor's Degree may substitute the required work experience.

A Paralegal/associate's degree or 60 college credits may substitute the required work experience.

A Paralegal Certificate may substitute the required work experience.

Knowledge, Skills, and Abilities:

Knowledge of:

General office practices, procedures, and equipment.

Standard legal forms and documents used in the Judiciary.

Basic English and arithmetic to include, but not limited to, spelling, punctuation, grammar, addition, subtraction, multiplication, and division.

Skill in:

Applying job-related terminology, codes, policies, procedures, rules, regulations, and laws.

Communicating information effectively.

Analyzing legal property documents, records, reports, and other business and financial documents noting details and facts pertinent to this assignment.

Ability to:

Use standard office and business equipment including, but not limited to, computers, word processing, spreadsheets, database software, copier, scanner, fax machine, cash register, etc.

Operate special duplication equipment, typewriter, time/date document liber/folio, adding machine, numbering, and scanners.

Calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.

Interpret, apply, and follow a variety of written and verbal instructions.

Provide assistance, guidance, and direction to others in a polite and efficient manner.

Work within time constraints, meet fixed deadlines, and demonstrate good organizational skills.

Learn instrument codes and instrument-specific indexing procedures.

Examine legal property documents.

Multitask and prioritize duties and tasks.

Be accurate and pay attention to detail.

Understand court procedures.

Interpret documents, Statutes, and Rules.

Type at a proficient speed.

Make quick decisions and work within time constraints.

Understand and carry out complex oral and written instructions and protocols for any given assignment.

Understand legal terminology.

Properly calculate taxes and fees for documents.

Keep information confidential.

Physical Requirements:

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
