Epsilon Systems is seeking a full time Project Assistant I for the Hyperbarics Department located in Portsmouth, VA.

Summary: Under close supervision, provides a variety of routine administrative support to a project. General/routine clerical or administrative or functional support to a project or department. Typically, works closely with Project Managers. Perform/solve routine problems of limited scope and complexity following established policies and procedures.

Duties and Responsibilities:

  • Compiles technical, financial, and other project data using various database programs for inclusion in reports or presentation materials.

  • Maintains tactical responsibility for tracking project financials.

  • Creates financial reports for customers and project managers as needed

  • Tracks temporary labor purchase orders, timesheets, invoices.

  • Performs initial review of customer invoices prior to the Director’s approval.

  • Makes appointments, travel arrangements, meeting arrangements and coordinates activities between program management, customer, and outside parties.

  • Responsible for ensuring all processes are synchronized with company standards regarding quality, workmanship and delivery schedules.

  • Performs periodic in process visual inspections.

  • Provides oversight and direction to team members and assists phases of production.

  • Reports directly to the Project Manager regarding production line status, part shortages and any other production inhibitors.

  • May confer with customers regarding the progress of all maintenance, work, and modifications involved in the project.

  • May work with department management to develop and maintain a list of all training and qualifications needed for individual personnel to effectively execute department work.

  • Act as the facilitator and coordinator between own department and other departments or organizations to ensure appropriate training is provided or received.

  • Participates in special projects as required.

Required Qualifications:

  • High School Diploma or equivalent. Some college coursework preferred.

  • Entry level. 1 - 2 years work related experience.

Knowledge:

  • Limited knowledge of office/functional support practices and standards. Basic understanding of general aspects of the job.

  • Basic knowledge of program requirements, policies, and procedures.

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar to effectively compose, edit, and proofread memos/letters.

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

  • Proficient in the use of Microsoft Office applications.

Skills:

  • Effective written and oral communication skills.

  • Strong attention to detail and accuracy in work products,

  • Strong organizational and time management skills, prioritization, and follow through.

  • Strong work ethic with a sense of urgency to complete assigned tasks.

  • Good customer service and team orientation.

Abilities:

  • Able to read, hear, and understand information presented in writing or orally.

  • Ability to create and maintain positive working relationships with team members

  • Ability to obtain and maintain access to US military and/or government installations

  • Ability to work with all levels of employees with professionalism and tact

  • Must be flexible and able to handle multiple tasks.

  • Ability to maintain strict confidentiality.
