Compensation for this position ranges from $74k to $84k, depending on qualifications and experience, with opportunities for overtime.

AFSPA offers an excellent benefits package, including up to 13 vacation days, 13 sick days, and 2 personal days annually, along with 10 paid federal holidays. All full-time employees are eligible for health, dental, and vision insurance (single and family) and life insurance starting the month following their start date. A generous 401(k) plan with employer match is also available after one year of employment.


Hybrid work schedule until otherwise notified.


Hybrid work schedules are based on business needs and may require you to work in the office up to four days per week.


Summary: Provides daily supervision of administrative staff and oversees mail, phones, and front desk coverage. Supports workflow execution across Administration and serves as the primary point of contact for escalations, quality issues, and task coordination. Acts as secondary backup for the Sr. Manager, Operations & Administration.


Duties and Responsibilities


Duties & responsibilities include, but are not limited to the following:

Facilitate skills development, provide feedback, and model AFSPA's service standards while supervising administrative staff in essential duties. Mentor team members through individualized development plans, encourage peer learning, and oversee the following responsibilities* 30%:

  • Promptly answering incoming calls and directing inquiries to appropriate departments
  • Accurately processing, sorting, and distributing incoming and outgoing mail
  • Delivering courteous front desk service and welcoming visitors per AFSPA protocol
  • Coordinating internal supply requests and basic meeting setup logistics
  • Overseeing PIN-based staff sign-in and visitor intake workflows
  • Ensuring completion and accuracy of assigned logs, checklists, and tracking tools
  • Serve as a backup to the Sr. Manager, Operations & Administration, assuming key responsibilities as needed to maintain continuity of administration operations.* 10%
  • Represent the department on the AFSPA OSHA committee, contributing to safety planning, walkthroughs, and compliance initiative.* 10%
  • Conduct regular audits of call routing, mail handling, and visitor sign-in practices; work with the Sr. Manager to refine training tools including checklists, simulations, and refreshers.* 10%
  • Lead performance conversations and reviews, escalating concerns as needed and recommending targeted coaching, upskilling, or intervention to maintain service excellence.* 5%
  • Drive process enhancements by identifying workflow inefficiencies and contributing to the implementation of automated solutions via SharePoint, Power Automate, and other Microsoft tools.* 5%
  • Promote a positive team culture that balances accountability with support, reinforcing professionalism, adaptability, and respect.* 5%
  • Act as the escalation point for service disruptions, staffing gaps, and workflow concerns; collaborate with the Office Coordinator and Sr. Manager to ensure seamless coverage and continuity.*
  • Maintain operational dashboards and department logs, compiling and submitting monthly reports that summarize task completion, quality metrics, and team performance trends.*
  • Coordinate with building/property management to resolve access or maintenance issues, ensure workspace readiness, and facilitate vendor visits aligned with safety standards.*
  • Perform other duties as assigned in support of organizational priorities and departmental success.*

Qualifications:

A strong working knowledge of Microsoft 365, including Teams, SharePoint, and Power Automate, is essential. Candidates should demonstrate excellent organizational, communication, and multitasking skills, along with a service-first mindset and the ability to lead by example in a high-visibility environment. Experience with call queues, mailroom operations, or visitor management systems is a plus. Prior experience in hospitality, guest services, or hotel front desk settings is highly preferred and will be considered favorably.



Education/Experience:

  • Bachelor's Degree in related field and a minimum of 5 years of experience in administrative support, office coordination or facilities management or an equivalent combination of education and experience
  • Minimum of 3 years of supervisory experience


Work Location:

The following are work locations that AFSPA utilizes: New Carrollton, Maryland Satellite Office; Washington, DC Headquarters; and hybrid remote. AFSPA does not have any fully remote positions. Work location will be assigned and/or changed based upon business need and at Management's sole discretion.
